CTG Research Center Support Administrator and Lobby Coordinator in Yorktown Heights, New York

CTG is seeking to fill a Research Center Support Administrator and Lobby Coordinator position for our client in Yorktown Heights, NY.

Location: Yorktown Heights, NY

Duration: 12+ months

Duties:

Research Support Center (RSC) Administrator

The Research Support Center requires a high level of professionalism and attention to detail. The role involves direct interaction with researchers, distinguished engineers, management, and executive-level personnel.

Responsibilities include:

  • Serving as a primary resource for employees' work requests, ensuring a seamless support experience.

  • Assisting in the preparation of required process forms, obtaining approvals, and ensuring compliance with corporate and global guidelines, including records retention.

  • Submitting, processing, and tracking Accounts Payable and Procurement-related requests efficiently.

  • Managing and monitoring shared functional inboxes using an agile approach in collaboration with team members.

  • Addressing operational inquiries, including travel and expense management, compliance with transportation and business amenities policies, and other corporate shared service processes.

Lobby Coordinator

The Lobby Coordinator role requires professionalism and strong interpersonal skills, as it involves frequent interaction with both internal employees and external visitors.

Responsibilities include:

  • Greeting visitors and ensuring a smooth, professional check-in process.

  • Preparing visitor badges in advance and handling unannounced visitors or employees without badges.

  • Completing annual security training, including emergency procedures and threat awareness.

  • Assisting guests with wireless access and general site operations inquiries.

  • Coordinating with on-site security and support teams to address visitor and resident concerns.

Skills:

  • Strong customer service and client-facing skills

  • Excellent interpersonal and teamwork abilities

  • Strong organizational and multitasking skills

  • Effective oral and written communication skills

  • Proficiency in Microsoft Suite, Box, and Monday

  • Ability to work independently and take initiative

  • Experience in a high-profile, fast-paced environment

Experience:

  • Prior experience in administrative support, customer service, or facility operations in a corporate or research setting.

  • Experience handling executive-level interactions and working in high-profile environments.

Education:

  • High school diploma required; Associate’s or Bachelor’s degree preferred.

Excellent verbal and written English communication skills and the ability to interact professionally with a diverse group are required.
