Sherwin-Williams Finance Controller Assistant in White Marl, Jamaica

TITLE: Finance Administrative Assistant

LOCATION: Head Office

REPORTS TO: Financial Controller

EDUCATION:

Tertiary Qualification: CPS or Certificate/Diploma in Business Administration

Training and/or experience in principles and policies Management or Office Procedures

REQUIRED SKILLS:

  • Analytical, time management and ability to motive staff

  • Proven aptitude to work with little or no direct supervision, and to meet deadlines

  • Ability to communicate effectively both orally and in written form

  • Proficiency in using Microsoft Word & Excel or equivalent

    LIAISES INTERNALLY WITH: Managing Director, Senior Managers, Accounting Manager and other members of staff.

    LIAISES EXTERNALLY WITH: Overseas principals, Suppliers, External auditors, Lawyers and the Government of Jamaica Statutory Agencies.

    DUTIES & RESPONSIBLITIES:

  • Prepare, file and dispatch general and confidential correspondence in the Financial Controller’s office.

  • Treasury Management

  • Monthly foreign currency purchases

  • Short-term investment of excess cash

  • Daily transfers from SWCR Branch bank accounts to SWWI bank account

  • Prepare weekly bank balance schedule and cash requirement analysis

  • Prepare monthly cheques to transfer funds from BNS current accounts to SWWI main NCB Bank Account

  • Dispatching monthly Financial Statements

  • Prepare quarterly schedules for outstanding and settled insurance claim

  • Prepare quarterly schedules for outstanding and settled legal cases

  • Ensure the following are always current:

  • Tax Compliance Certificate (TCC)

  • All Company vehicles license and Certificate of Fitness

  • Trade licenses for all Branch Stores

  • Lease Agreements all Branch Stores and Offsite Warehousers

  • Factory License

  • Request and dispatch cheques for the following: -

  • Monthly Royalty

  • Monthly withholding tax on royalty

  • Monthly General Consumption Tax (GCT)

  • Quarterly and final Company Income Tax

  • Annual duty on royalty

  • Annual company vehicles registration and fitness

  • Annual Trade Licenses for Branch Stores

  • Annual Factory License

  • Annual Insurance Premium

  • Purchasing of stationery for the entire organization and maintaining the stationery inventory.

  • Assist with quarterly and annual stock count

  • Any other duties as assigned by the Financial Controller from time to time

    Performance Criteria:

    This job is satisfactorily performed when:

  • All areas of treasury management outlined above are handled timely and efficiently

  • All reports and schedules are prepared and submitted with the stipulated deadlines

  • All Lease Agreements, licenses and certificates are always current

  • Adequate stationery is always available

  • Proper filing system maintained for all correspondence relating to the Financial Controller’s office

  • There is adherence to all policies and procedures of the company and department
