As the Purchasing Coordinator, you will play a pivotal role in managing supply needs across Barnes & Noble and Paper Source stores, Distribution Centers and the Home Office. You will interact with the store and DC teams, helping them find supply items and answering questions. Working closely with the Manager, Store Support, Store Planning & Design and the procurement team, you help oversee the procurement process, analytics, and management of the FF&E (Furniture, Fixtures, and Equipment) tickets. Your responsibilities will include collaborating with various departments to fulfill supply requests and ensuring efficient operations.

An employee in this position can expect a starting rate of $65,000 annually, depending on experience, seniority, geographic locations, and other factors permitted by law.

WhatYouDo:

• Manage and prioritize work orders in the FF&E email inbox, assign tasks to team members, including yourself and vendors as appropriate.

• Utilize analytics tools to run reports from ServiceChannel, ensuring timely follow-up on supply orders and maintaining accurate work order statuses and schedule dates.

• Monitor store inventory of gift cards, facilitating transfers from closing stores and initiating orders for new and existing stores.

• Conduct monthly reviews of vendor inventories, highlighting any issues for the Project Managers.

• Update and maintain supply module catalogs to ensure current item numbers and pricing.

• Assist in closing and new & closing store supply orders, tracking deliveries, and ensuring timely fulfillment.

• Collaborate with Creative, Operations, Merchandising, and other cross-functional teams as needed to address supply-related inquiries.

• Ensure accuracy in all communications regarding supplies before distribution.

• Troubleshoot for your customers where needed.

• Look for opportunities to reduce waste and identify green initiatives.

• Complete special projects or other duties as assigned.

• Oversee departmental invoicing, ensuring accuracy and efficient tracking of all purchases.

Knowledge&Experience:

• Technical organization skills with a background in purchasing and retail operations.

• Strong communication skills to interact effectively with peers, field employees, contractors, and internal stakeholders.

• Demonstrated integrity and trustworthiness, capable of admitting mistakes and maintaining honesty.

• Ability to manage multiple projects concurrently in a high-volume environment.

• Ability to meet departmental objectives and work standards.

• Excellent written and verbal communication skills.

• Ability to learn proprietary software programs.

• Proficiency in Microsoft Word, PowerPoint, Access, and Outlook.

• Knowledge of Smartsheet, Service Channel, or other ticketing & supply channel software.
