UPMC Administrative Assistant - UPMC Washington Physical Therapy in Washington, Pennsylvania

We are seeking a highly organized and motivated Administrative Assistant to join our dynamic Physical Therapy Department! The ideal candidate will play a crucial role in ensuring the smooth operation of our department, providing exceptional administrative support to our team and patients. Responsibilities:

  • Clerical functions : Copying, sorting, filing, and typing. Maintaining office files, logs, and records.

  • Supply management : Ordering supplies and maintaining equipment.

  • Communication : Answering and routing calls and messages.

  • Visitor management : Greeting, screening, and directing visitors to the appropriate staff member. Responding to routine questions.

  • Scheduling : Coordinating appointments for physical therapy (PT), occupational therapy (OT), and speech therapy (ST) patients.

  • Insurance verification : Checking benefits, obtaining authorizations, and confirming copayments for patients.

  • Registration : Entering patient information into the EMR systems (Sunrise and Raintree). Recording patient demographics, referrals, prescriptions, copayment info, authorization details, diagnosis codes, and insurance information.

  • Authorization tracking : Monitoring approved visits and submitting requests for continued therapy based on the plan of care.

  • Communication : Maintaining constant communication with the rehab team, including directors, managers, therapists, support staff, and physician offices.

  • Collaboration : Working closely with IS, Case Management, Finance departments, and the WRCWC team.

Schedule: Mondays, Tuesdays and Fridays are 8AM-4:30PM & Wednesdays and Thursdays are 9AM-5:30PM.

  • High school diploma or equivalent.

  • Three years experience in an administrative support role.

  • Ability to perform advanced functions in word processing, electronic mail/calendar, spreadsheet, presentation and database software.

  • Ability to use applicable MS Suite products.

  • Working knowledge of business processes and procedures.

  • Knowledge of basic accounting and financial principles and functions.

  • Ability to analyze data and use basic reasoning skills.
