As a member of the Georgetown University, Office of Advancement’s Stewardship team, the Stewardship Coordinator, Data and Special Projects works to build a culture of gratitude and ensures that donors are appreciated, informed, and engaged. The Stewardship Coordinator’s work ultimately touches donors at every level. Thus, a strong sense of responsibility, integrity, thoroughness, attention to detail, and timeliness are critical. The Stewardship Coordinator manages a variety of projects core and critical to the work of the Stewardship team. The role supports various team members and projects throughout the year, including mass digital and physical mailing projects, data management, project management, and editing and reviewing communications. Marshaling and organizing data from a variety of sources, the coordinator supports the creation of accurate and effective reports and communications with donors, ensuring that these communications demonstrate gratitude and communicate the impact of donors’ investment in the university. Additional responsibilities include, but are not limited to:

Management of Donor-Directed Fund Information

  • Lead the tracking of all gift agreements, stewardship addenda, and gift documentation as gifts are received from donors to Georgetown University, and marshals data from a variety of sources (donor gift information, financial data on endowed funds, campus and medical center units benefiting from gifts) to ensure that accurate reporting to donors can take place.

  • Perform ongoing review and update information in Salesforce database to ensure accurate and effective communication with donors.

  • Respond to requests to review historical gift agreements or gift documentation in a thorough and timely manner.

  • Assist with the preparation of reports and mailings to donors that demonstrate gratitude and communicate the impact of their investment in the university and the medical center.

Supporting Stewardship Projects

  • Assist with Stewardship digital and physical mailing projects, including the creation of reports and mailing lists.

  • Facilitate updates to the team’s project management platform to ensure information is organized and to help team members stay on target to achieve project goals.

  • Support Stewardship-related events by assisting with creating materials and providing other necessary support ahead of the event.

New Initiatives and Other Duties as Assigned

  • Contribute to or manage other stewardship and donor relations initiatives on an as-needed basis, pulling and analyzing gift data in response to questions from donors, development officers, and stewardship colleagues, scanning and uploading correspondence, impact of gift reports, and other communications pieces.

  • Participate in building dedications, gift celebrations, fundraising events, and other events as needed.

  • Serve on Office of Advancement committees as assigned/necessary.

Work Interactions

This position works with a broad range of university-wide colleagues and external constituents and is highly service-oriented. The coordinator reports to the Director of Donor Reporting and Impact and works closely with members of the Stewardship team and with teams in development, Advancement communications, database and information management, gift accounting, and administrators in schools and departments throughout the main and medical campuses. The coordinator represents the Office of Advancement and the university among some of our most generous donors; therefore, they must understand all components of these respective offices. Due to the level of confidential information handled, this position requires careful judgment and discretion, particularly when dealing with donors. The diversity of workload requires flexibility, efficiency, and the ability to prioritize tasks and meet deadlines for a wide variety of assignments.

Requirements and Qualifications

  • Bachelor’s degree

  • 1-3 years of professional or a combination of graduate studies or applicable volunteer experience

  • Proficient in MS Office computer software applications, particularly Excel, and Google Drive Suite

  • Excellent written and verbal communication skills and the ability to interact well with others

  • Analytical, well-organized, able to handle multiple tasks and priorities simultaneously, and consistently meets all deadlines

  • Able to assimilate data, exercise sound judgment and discretion, and work independently

  • Able to effectively manage projects that are both data-driven and relationship-driven

  • Detail-oriented, accurate, with strong critical thinking skills and ability to innovate

  • Sensitive, personable, and experienced in customer relations skills

  • Able to initiate and complete projects and provide donor support with little supervision, exercising good judgment

  • Able to work effectively in a team environment

  • A strong desire to contribute to and participate in the mission of the Office of Advancement

  • Accuracy in materials preparation, dependability, and ability to maintain confidentiality

Preferred Requirements and Qualifications

  • Experience working with donors

  • Familiarity with fundraising databases or the Salesforce platform

  • Experience with project management platforms

  • Prior experience with Stewardship, including reporting, donor recognition, and acknowledgments, is a plus

Pay Range:

The projected salary or hourly pay range for this position which represents the full range of anticipated compensation is:

$20.16 - $31.30

Compensation is determined by a number of factors including, but not limited to, the candidate’s individual qualifications, experience, education, skills, and certifications, as well as the University’s business needs and external factors.
