Equitable is looking for a Producer Assistant to join our team. The Producer Assistant assist with developing and maintaining excellent relationships with the clients, focusing solely on the assigned Advisor’s clients. This position reports to the assigned Advisor(s) directly.

Key Job Responsibilities

  • Provide telephone support for Advisors by fielding calls and handling requests/ directing clients to the Advisor as appropriate

  • Salesforce Maintenance

  • Salesforce Reports

  • Run monthly Annual Review reports in Salesforce & e-mail to Advisors

  • Other Salesforce reports as needed

  • New Business Support

  • Prepare new business forms as directed by Advisors

  • Track and follow-up on new business as directed by Advisors

  • Post-Issue Client Support

  • Prepare, process, and track beneficiary changes, rebalances, and other service-related issues

  • Update Salesforce with new client information as needed (i.e. address changes; new financial info obtained from Client Profiles, etc.)

  • Process SRA requests

  • Obtain TPA authorizations when necessary

  • Client Reviews

  • Assist with preparing for Annual Client reviews and other client meetings as directed by case managers.

  • Creating/Updating Asset Maps

  • Broadridge/Morningstar Reports Community Financial Group- For Internal Use Only

  • Reviewing Paperclip files for previous meeting notes

  • Compiling account information (beneficiaries, statements, current withdrawal/contribution information)

  • Preparing Service Forms

  • Assist with reviewing incoming correspondence

  • Scanning Document(s) to Paperclip, and follow-up as needed (which may include passing the issue on to the Advisors as needed).

  • My Marketing Station

  • Other duties as needed:

  • Pinpoint

  • Paperclip

  • Scheduling client appointments

  • Etc. (all around support of the Advisor’s practice)

Qualifications

Required Qualifications

  • Associate Degree or 2 years professional work experience in office environment as Administrative Assistant role

Preferred Qualifications

  • Detail oriented and organized

  • Able to prioritize workflow and good communication skills

  • Incumbent will work as part of a team to provide administrative support to Producer Group

  • Excellent organizational skills and time management capabilities

  • Proven Success juggling multiple priorities in a heavy workload environment
