Smithsonian Institution Management Support Assistant in Washington, District Of Columbia

Summary The Smithsonian Institution is the world’s largest museum, education, & research complex. The position is located in Smithsonian Facilities (SF), Smithsonian Institution (SI) within the Office of the Director, Office of Business Administration & Technical Services, Office of Safey & Health & Environmental Management, Smithsonian Gardens, Office of Emergency Management, Office of Planning & Design and Construction, Office of Facilities Management & Reliability. Multiple selections may be made. Responsibilities The Management Support Assistant is responsible for financial tracking & processing, procurement, travel management, general office support, time and attendance, and document preparation. In this position, you will: Track income and expenditures from a variety of federal and/or trust funds. Prepares and tracks forms for billing, receiving, depositing and/or transferring funds. Order a variety of goods and services including office or lab supplies, performers, honoraria, custom goods or services (such as design, production), or conference services. Assist with coordination and submission of contract request and documentation. Assist staff members by responding to telephone calls, photocopying, scanning or faxing documents Serve as timekeeper for the organization or unit, monitoring and coordinating the timely and accurate submission of Time and Attendance (T&A) records and serving as primary liaison to Payroll. Prepare materials such as correspondence, reports and briefing slides using a variety of office software. Ensures accurate transcription and proper grammar and spelling. Assists staff members by responding to telephone calls. Responds to basic questions and refers employees to on-line training materials, handbook or policy documents. Qualifications Experience: You qualify for this position if you have one year of specialized experience equivalent to at least the GS-4 level in the Federal Service. For this position, specialized experience is defined as responding to inquiries verbally/writing; arranging meetings; reviewing correspondence for grammar, establishing and maintaining files/records; use of different office automation software, i.e., word processing, spreadsheets, and electronic mail; conducting inventory of supplies; keeping time and attendance records and data entry of a variety of information into electronic database. Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religious; spiritual; community, student, social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience. Part-time and/or unpaid experience related to this position will be considered to determine the total number of years and months of experience. Be sure to note the number of paid or unpaid hours worked each week. Education Additional Information This position is included in the bargaining unit.
