Federal Aviation Administration Executive Support Specialist in Washington, District Of Columbia

Summary The position serves as an Executive Support Specialist in the Office of Rulemaking (ARM) Executive Front Office, where the employee provides analysis, evaluations, and the management of special projects in support of the Executive Director and/or Deputy Executive Director. Responsibilities The Executive Support Specialist provides assistance and support to the Executive Director and Deputy Executive Director for the Office of Rulemaking. Performs multiple and varying assignments under the limited direction of a manager, project/program manager, team leader, or more experienced professional. Uses organizational skills to coordinate varied assignments and handles multiple priorities that often exists in the front office of a large organization. Serves as liaison with individuals/groups within and outside the Agency. Maintains the Executive Director and Deputy Executive Director schedules and organizes daily activities, gathers briefing materials, and makes certain materials are prepared for daily meetings. Prepares and arranges domestic and international travel authorizations and completes vouchers for the Executive Director and Deputy Executive Director in an accurate and timely manner, including travel plans, itineraries, and agendas. Compiles documents for travel-related meetings. Uses established policies and procedures as guidance in completing most assignments, but allow considerable discretion to select the most appropriate approaches or recommend new approaches. Interprets and applies policies to ensure documents adhere to FAA writing and branding standards prior to final review and approval by the Executive Director and/or Deputy Executive Director. As an individual contributor, assists in the reviews of management reports and documents by applying appropriate grammar, writing, and editing practices and style requirements, ensuring clarity and that they meet the needs of the intended audience. Assists with the development, review, and presentation of documents and reports. Applies experience and advanced knowledge administrative processes and practices in the planning and accomplishing assignments. Assignments may require knowledge and experience working across functional and/or organizational lines. Uses considerable independence in planning time and helping the Executive Director and/or Deputy Executive Director to plan and use assigned resources to accomplish projects/programs/activities. Performs a variety of special assignments, involving research and analysis. Researches information for use in the development of written materials and coordination of substantive program issues and activities (including predecisional policy issues). Serves as the point of contact for Office of Inspector General and Government Accountability Office audits. Resolves most problems and work issues without assistance and refers difficult problems and work issues to the Executive Director and/ or Deputy Executive Director that requires their attention. May help them in developing and recommending solutions. Contacts typically are internal and external, with regular contacts among major subdivisions and LOB's/SO's, customers, and other external parties to share information about the FAA and explain the applications of policies and procedures. Work is reviewed periodically, typically at major milestones and at completion, for policy compliance and alignment with the requirements of projects and/or other work activities. The work activities typically support and may be vital to the success of projects and/or activities for one or more organizational units, major subdivisions, and/or LOB's/SO's. Specialized experience is experience that has equipped you with the particular knowledge, skills, and abilities to perform successfully the duties of the position.
