Events & Operations Assistant - Office of Event Management & Scheduling - Georgetown University Law Center

Georgetown Law’s Office of Event Management & Scheduling (OEMS) (https://www.law.georgetown.edu/your-life-career/campus-services/office-of-special-events/) works with administration, faculty, and staff to develop, plan, and execute several hundred events each year. The team provides an array of services including client consultation, vendor contract management, event conceptualization, detailed planning, logistics, and virtual or on-site event management.

Job Overview

The Events & Operations Assistant provides skilled administrative support to the Executive Director, Deputy Director, and all of team members in all aspects of departmental functions in a busy, fast-paced event planning environment.

They maintain the OEMS office space, procuring all supplies required for the office’s programs and needs of the team, and assist the Deputy Director with financial management – for example, managing expenses for team members, expense journals, contracts and purchase orders for events; and working closely with the Financial Affairs team. As well, they assist the coordination and management of event communications, including the events calendar website.

Additionally, they support OEMS team members, preparing for on-site events and assisting the day of – for example, printing materials such as signage, name badges and tent cards; and greeting guests, managing check in, and directing guests during the event.

Work Interactions and Work Mode Designation

Reporting to the Assistant Director of the Office of Event Management & Scheduling, the Events & Operations Assistant has a critical role in maintaining the functional efficiency of the entire Office of Event Management. They interact and support in one way or another with every member of the team, and assists with all of the events and academic programs across the campus, including emerging spaces as part of Georgetown’s Capitol Campus.

This position has been designated as Hybrid. Please note that work mode designations are regularly reviewed in order to meet the evolving needs of the University. Requirements and Qualifications

  • Bachelor’s degree

  • Relevant experience with in events, marketing, or promotions - preference for 1 to 2 years as work experience

  • candidates with familiarity in an academic environment is a plus.

  • Demonstrably strong capacity for organization

  • Understanding of basic accounting principles and analytical judgment

  • Competent decision-making skills

  • Ability to prioritize competing demands in an office that plans hundreds of events during the academic year

  • A high degree of autonomy and self-initiative, with the ability to work without close supervision

  • Ability to interface with the public

  • Ability to maintain highly confidential information with professional discretion

Preferred Qualification

Experience with Microsoft Office Products, Google Suite Products, WordPress, and Canva
