Coordinator, GUMC Special Events - Office of Advancement - Georgetown University

Job Overview

The Coordinator of GUMC Special Events supports the GUMC Special Events team in all activities related to major fundraising and cultivation events. They are primarily responsible for implementing all support aspects of the Lombardi Gala, Lombardi Women, The Men’s Event, and GUMC Events Portfolio – including but not limited to:

  • Manage committee documentation and correspondence; attend all meetings as appropriate; and develop materials for committees

  • Interact with committee members (tracking membership, meeting, and event attendance)

  • Manage event reservation process for sponsors and individual attendees

  • Administer vendor contracts, invoices and payments; and handle tax forms

  • Record gifts and create gift reports; create financial spreadsheets; and reconcile internal event budgets

  • Initiate and manage acknowledgment letters for fundraising and cultivation activities as needed

  • Maintain and update event websites and online auction software

  • Support social media for all events

  • Manage donor and volunteer data entry and upkeep

  • Serve as the procurement specialist for the GUMC Special Events team, working directly with University and GUMC finance, and helping to ensure GUMC Special Events team maintains procurement best practices

Work Interactions and Work Mode Designation

Reporting to the Senior Director of Special Events, the Events Coordinator interacts with GU leadership, staff, alumni, volunteers, donors, VIPs, and outside vendors. They are often the first line of communication with external constituents for the department’s high-profile events.

They establish and maintain cordial and effective working relationships with GUMC, Office of Advancement, and external officials, donors, prospects, VIPs, and key volunteers.

This position has been designated as Hybrid. Please note that work mode designations are regularly reviewed in order to meet the evolving needs of the University. Requirements and Qualifications

  • Bachelor’s degree

  • Experience in professional work environment - preference for work or volunteer experience in the non-profit sector, particularly development and special events

  • A mastery of protocol surrounding high pedigree and high wealth societal events

  • Excellent computer skills - proficient in Microsoft Word, Excel, Powerpoint, Google Products

  • Social media skills - Instagram and LinkedIn

  • Strong interpersonal skills and confidence when interacting with internal colleagues and external constituents, donors, prospects, and VIPs

  • Attention to detail

  • Understanding of protocol

  • Highly organized, proactive, collaborative and a team player attitude

  • Strong communication and organizational skills
