Job Overview

The Area Health Education Center (AHEC) Program Manager directs the AHEC Scholars Program, and provides a significant contribution to all AHEC project activities, including management of community-based, educational, clinical and research activities of AHEC Scholars and pathway programs.

They contribute to curricular planning, student and faculty schedules, meetings, research, learner evaluation, production of scholarly products, and coordination and management of virtual communities; and provide assistance for key personnel, collaborating faculty, and related faculty, resident and student research projects, and support research, education, clinical, and service infrastructure and capacity building activities for the AHEC Project for the Department of Family Medicine.

They serve as the primary project director for multiple on-going AHEC-based evaluations and educational research projects in all phases of development and implementation, including supervision of work-study students and medical school, graduate and undergraduate student interns or scholars; as well as research design, IRB applications and processing, data analysis, and dissemination of study results.

The Program Manager assists the faculty members and staff of AHEC programs, AHEC Centers and collaborators, in educating, in an integrated way, knowledgeable, skillful, ethical, and compassionate health professions learners dedicated to the care of others and the health needs of society. They manage online activities for the program, including website development and social media presence; and support the Principal Investigator/AHEC Director, Advisory Committee, subcommittees (community, clinical, research, mentorship, scholarship), Primary Care Leadership Track Director, AHEC and track-related course directors, HRSA Research Associate, and Department Administrator.

As well, they serve as an assistant to the AHEC PD/PI in managing faculty, resident and staff presentations, publications, grant reports, grant renewals, and related grant submissions; and also serve in a collaborative team support capacity for the department’s administrative team of Course Coordinators, Program Coordinators, Research Assistants/Associates, Residency Coordinator, Residency Administrator, Practice Administrator and their respective divisions.

Research Infrastructure and Capacity Building

  • Develop, edit and prepare proposals, study protocols and supporting documentation for federal, foundation and private industry-sponsored research funding agencies.

  • Coordinate and submit grant applications and reports, with University and extramural research administrative offices, subcontractors, subawardee investigators, and consultants.

  • Provide support and assist researchers, research infrastructure, financial management functions and capacity building activities in the Department of Family Medicine.

Study and Regulatory Management

  • Oversee and assist in ongoing studies, including research design, data management, study materials development, data analysis, writing and editing scientific manuscripts for publication. Responsible for institutional review board (IRB) submissions and serve as the primary regulatory coordinator for IRB-related communications.

  • Help department faculty members submit and communicate with the IRB. Supervise and train medical school, graduate and undergraduate student interns.

  • Provide support to Principal Investigator and Research Associate.

  • Collect and analyze evaluative data for AHEC project, Primary Care Leadership Track, or any grant-related indicators.

Fiscal Management

  • Prepare study budgets with the help of PI, department administrator, research associate and faculty in accordance with federal, sponsor and institutional policies, procedures and guidelines

  • Monitor AHEC budget and grant-related expenses, and reconcile expense reports with department administrator

  • Complete sponsor annual progress reports and assist with financial reports

Work Interactions

Reports to Principal Investigator/AHEC Director, Center for Health Equity Director, Department Chair, with interactions that include but are not limited to:

  • Serves as AHEC Program Manager for student, resident education and faculty continuing medical education programs including web-based and live sessions

  • Assigns mentors and mentees for Primary Care Mentorship Program and facilitate meetings and ongoing communication between them

  • Follows up with students to coordinate and arrange mid-year check-ins with mentors.

  • Coordinates AHEC Project activities, including health-services research, medical education research and CAPRICORN, a practice-based research network (PBRN) of primary care providers in the DC metropolitan area

  • Presents opportunities for recruitment and enrollment in practice- based research to faculty

  • Communicates with Scholarly Activity Working Group, Medical Student Education division and residency program about upcoming projects, meetings and events

  • Assists Faculty Research Director, CAPRICORN Director, and study investigators in developing and implementing project protocols and recruitment plans for resident and student involvement

  • Oversees and assists with medical, graduate and undergraduate student independent-study projects conducted within the Network. Coordinate survey instruments and statistical programs for study usage

  • Serves in a collaborative team support capacity for the department’s administrative team of Program Coordinators, Research Assistants/Associates, Residency Coordinator, Residency Administrator, Practice Administrator and their respective divisions

  • Performs duties and responsibilities that include but are not limited to attending monthly department meetings, course-related meetings, AHEC committee and subcommittee meetings; coordinating events (e.g., orientation, activities fairs, grand rounds, health equity journal club, etc.), preparing grant award applications, proving grant implementation and programming assistance to AHEC faculty and staff, typing/sending correspondence or reports, entering data, creating presentations and publications (fliers, brochures, etc.), providing social media support for AHEC, setting-up and clearing rooms after course meetings or sessions, recording AHEC or related department or center for health equity meeting minutes or giving reports for course or division at departmental meetings, retrieving and delivering mail, ordering office supplies, coordinating catering needs, completing forms, reserving rooms, editing documents, and handling room booking and space issues

  • Presents and maintains a pleasant, professional and positive image of the department as the representative of the department in event planning, interacting with medical students, residents, fellows, and visiting high school students, work study students, visitors to the department, and faculty and guests at department and division meetings, Grand Rounds and symposium events

Reports to the Department Administrator, with interactions that include but are not limited to:

  • Supervises undergraduate, graduate and medical student work for AHEC related activities

  • Provides general collaborative team support for the department’s administrative team of Administrative Officer, Program Coordinators, Research Assistants/Associates, Residency Coordinator, Residency Administrator, Practice Administrator and their respective divisions - including cross coverage as defined by the Department Administrator, social media, communications; and perform general clerical duties as assigned to support the department of Family Medicine, and to reconcile AHEC grant related expense.

Requirements and Qualifications

  • Master’s degree – preference for degree in education [note: consideration will be given to an equivalent combination of education and experience]

  • Knowledge of research methods, human research subjects protection and Good Clinical Practices, FDA regulations, OMB Uniform Guidance and NIH funding guidelines

  • Analytical background; strong communication, writing and editing skills; excellent organizational skills; detail-oriented knowledge of grants.gov, REDCap, SPSS or other statistical programs, Endnotes, Word, Excel, PowerPoint, other database skills, social media skills, website interfaces, survey databases, e.g., Qualtrics, SurveyMonkey, Google forms

Preferred qualifications

A minimum of 3 years of progressive work experience in project coordination or management, grants management, grant writing or sponsored research administration, and/or coordination of pathway/pipeline programs or community-based programs, or a similar academic position
