SOL Engineering, LLC Administrative Assistant Journeyman in Washington, District Of Columbia

Seeking an Administrative Assistant Journeyman to m aintain database; procurement, invoicing, tracking office supply inventory; and equipment upkeep. Work closely with technical support teams, facility engineers, building security, and outside vendors

Responsibilities

  • Daily executive administrative support to senior level management – internal and external

  • Responsible for daily planning of complex meeting schedules, including Flag-level calendars and travel arrangements; appointments, recurrent notices, and reminder tools for multiple calendars using MS Outlook

  • Arrange executives’ extensive, complex domestic and international business travel, from end-to-end, using company travel vendor. Timely follow-through to enter expense reports using company reporting systems

  • Coordinate with senior management for monthly budget and financial reporting, other recurring meetings; collect and assemble materials. Organize, attend, and participate in staff meetings; action-item distribution

  • Collaborate with administrative staff to support on-site team meeting arrangements, reserving conference rooms, work rooms, and catering; conference calls, other tele-video support. Work with offsite conference planners, visit properties, plan and coordinate quarterly/annual meetings, conferences, and dinners

  • Provide additional administrative support for group managers, directors, and program coordinators in their efforts to meet deliverables in multiple time zones; copying, scanning, and/or priority-mailing arrangements

  • Take ownership of, and accountability for all assigned tasks and cyclical projects for the business units; working extended hours if required, to meet deadlines

  • Provide leadership and work-guidance to train and/or guide less experienced support personnel; supervise and coordinate activities of office administrators relative to the operations of the business

  • Office manager support role: Maintain database; procurement, invoicing, tracking office supply inventory; and equipment upkeep. Maintain orderly appearance of general workspace, conference rooms, supply/file and break-room areas. Work closely with technical support teams, facility engineers, building security, and outside vendors for delivery of equipment, office supplies, or food services

    Requirements

  • Active Secret Clearance

  • Bachelor’s degree or equivalent

  • Maintain a high level of professionalism and provide excellent communication, organizational and interpersonal office skills with everyone

  • Strong verbal/written and analytical skills

  • Ability to work independently; adapt well to changes, and technology to increase connectivity

  • Computer proficiency using the Internet, Windows, Microsoft Office, MS Teams virtual platform – strong Outlook, Word and PowerPoint; intermediate Excel; MS Share Point; Deltek Cost Point

  • Conduct all business and sensitive information with discretion and confidentiality
