Academic Coordinator - Office of Faculty and Academic Affairs - Georgetown University Medical Center

The Office of Faculty and Academic Affairs (OFAA) (https://ofaa.gumc.georgetown.edu/) provides support and guidance to the Georgetown University Medical Center (GUMC) faculty, which includes 2,400 faculty in the School of Medicine (SOM), School of Health, and School of Nursing. Of note, some faculty are employed by Georgetown University and some faculty are employed by our clinical sites.

Job Overview

The Administrative Coordinator for the Office of Faculty and Academic Affairs (OFAA) provides clerical and administrative support for the office, specifically to the Associate Dean for Faculty Development and to the Faculty Strategic Project Manager; and provides administrative support to the Office of Medical Education (OME) for coordination of grading equity efforts across the School of Medicine (20% of effort).

Responsibilities include but are not limited to:

  • Scheduling meetings

  • Supporting faculty committee work which includes taking minutes

  • Distributing agendas

  • Coordinating workshops and programs, sending reminders/follow-up emails

  • Coordinating OFAA developmental programs and trainings, and providing administrative support for SOM grading equity efforts

  • Providing general office support, including but not limited to meeting and event coordination (e.g., room reservations, managing RSVPs, creating and sending advertisements) and workshop material preparation

  • Overseeing day-to-day management and updating the content on the OFAA website

  • Providing administrative and coordination support to the Faculty Development Committee (FDC) and its three subcommittees

  • Communicating with all new faculty via email to aid in their onboarding process, and hosting orientation meetings by request for new faculty members

  • Serving as a resource for aiding faculty in their career development, building relationships with faculty, and enhancing the faculty’s knowledge of OFAA as a resource through marketing, branding, communications, and creating meaningful relationships with other departments

  • Compiling existing resources, information and resources related to grading equity in the SOM

Work Interactions and Work Mode Designation

The Academic Coordinator works closely with all members of the OFAA team, including but not limited to the Associate Dean for Faculty Development, the Associate Dean for Clinical Faculty, and the Strategic Project Manager.

As well, they work closely with the faculty leaders of the Faculty Development Committee and its subcommittees; serve as a representative of Faculty Affairs in communication and meetings with GUMC leaders; and work in collaboration with the OFAA leadership in outreach to other GUMC faculty and associated GUMC leaders.

They coordinate communication with new faculty, improve the new faculty experience, contribute to other faculty development workshops and events throughout the year, and coordinate activities related to promotion of grading equity at SOM.

Requirements and Qualifications

  • Bachelor’s degree and at least 1 year of administrative experience or an Associate’s degree and at least 4 years of administration coordination experience - preference for described experience in an academic environment

  • Excellent verbal and written communication skills

  • Good attention to detail

  • Ability to deal effectively and professionally with a variety of persons

  • Demonstrated time management skills and ability to multi-task

  • Knowledge of Microsoft Office and Google Drive programs - e.g., Google documents, Google sheets

  • Ability to create, update and manage the OFAA website (training for website editing available)

  • Ability to take initiative and work independently to plan, organize, and prioritize tasks

The expected pay range for this position is $20.16 to $28.85 per hour.
