Key Responsibilities:
• Responsible for functioning of the office in the broad sense, secures work stations, creates administrative procedures.
• Responsible for purchasing and maintaining adequate office equipment and office supplies.
• Responsible for creating and coordinating approvals for vendor and contractor invoices; coordinates with accounting to ensure timely processing.
• Responsible for coordinating office services providers (cleaning, post services, technical services).
• Cooperates with the Landlord and Property Manager for currently leased space/ additional space (as needed).
• Responsible for coordinating with the Property Manager, office renovation and/or arrangement of new space.
• Coordinates the activities related with facility security, fire drills and other safety regulations.
• Coordinates the work of all other administrative staff and reception.
• Organizes the events for employees and site visitors.
• Secures and maintains physical employee records and other confidential files.
• Responsible for company car fleet – leasing, services related to cars.
• Oversees office security system, access cards and access levels.
• Manages underground car parking.
• Assists site Vice President with travel arrangements and expense processing.
• May be required to perform ad-hoc duties related with the facility and/or administration.
Candidate Profile:
• Administrative experience (at least five years of professional experience on the Administration Manager position in an international company).
• Experience in solving customs matters.
• Fluent English (written and spoken).
• Ability to identify and resolve problems
• Positive and problem-solving attitude.
