The Project Coordinator is responsible for assisting the monitoring and reporting of the financial performance of the Operations Department, processing electrical subcontractor agreements and ensures timely and accurate invoicing for the customer, and assists in timely resolution of invoice disputes and collection efforts. Also, this position requires working closely with Operations for accurate job costing, project completion/closures, and day-to-day project support as needed.


  • Responsible for full-cycle AIA construction invoicing, inclusive of creating AIA schedules of values (SOV) and coordinating with Project Managers for accurate and timely billings to meet project schedules

  • Processes and handles all customer billing protocols and instructions, including invoice uploading to third party billing systems while working with the internal applications team to ensure cash/payments are correctly applied and helps out with AR account reconciliation as necessary

  • Assists in the resolution of contract invoice disputes through consistent communication with customers and internal employees

  • Collects and tracks notes for monthly collections meetings with centralized collections team on contract disputes requiring credit memo, offsets, or write-offs and ensures those requests are completed in a timely manner and approved per internal approving process

  • Manage project closings process, budget revisions, and change of status. Coordinate

  • Timely and accurate project cost transactions with the local management team and project managers.

  • Work within the existing ERP system to monitor forecasted/planned revenue goals, track.

  • Open and warranty project completion dates, and ensure proper closure of both.

  • Prepare/support forecast/Budget revisions and identify project risks and opportunities. Prepare financial reports regarding revenue and margin goals for Management (as needed).

  • Prepare/process execution of all subcontracts and manage/oversee all subcontract-related processes.

  • Manage and work closely with all vendors on any tax-related issues.

  • Work closely with internal staff to resolve any project-related issues and concerns. (billings, closing dates, change orders/deducts, trailing cost, … etc.)

  • Ensure Open payables issues are reviewed and resolved in a timely manner, as necessary.

  • Other duties as assigned by the Business Manager related to the support of the project life cycle.


High School Diploma, GED or equivalent; BA/BS degree preferred.


  • Five years of experience within the Building Construction/HVAC Industry

  • Undergraduate degree in business, finance, or equivalent strongly preferred

  • Accounting, purchasing, receivables, and AIA billing experience preferred

  • MS Dynamics/ERP and MAS experience a plus

  • Proficient in Microsoft Office software, including Word, Excel, Outlook, PowerPoint, and Access

  • Excellent written and verbal communication skills

  • Ability to work without close supervision

  • Good time management skills

  • Able to manage multiple competing priorities successfully
