Purpose:

The Undergraduate Program Specialist II coordinates and oversees the planning, development, and implementation of the Chemical Engineering Department Undergraduate Program. This role involves providing support for undergraduate activities, scholarships, class scheduling, textbooks, and student learning. Additionally, the specialist provides and coordinates advanced professional-level administrative support to key faculty, research staff, and/or administrative personnel for programs. The position may also assist with event planning, budget preparation, program communications, marketing materials, proposal preparation, and reporting.

Responsibilities:

40% Undergraduate Program Coordination

  • Serves as the primary coordinator of the CHEN undergraduate program, working with the Director of Undergraduate Studies and the Leadership Team.

  • Acts as the first point of contact for prospective undergraduate students.

  • Coordinates undergraduate academic support, including scholarships, class scheduling, and textbooks.

30% Student Support and Retention

  • Develops new recruiting material and ensures current information is updated as needed.

20% Administrative Support

  • Performs program administrative duties for department faculty, undergraduate advisors, safety officers, and professional staff.

  • Assists with planning and coordinating events such as conferences, seminars, lectures, meetings, and workshops involving undergraduate students.

  • Assists in preparing budgets for programs and events, developing project timelines, and coordinating program communications and marketing materials.

10% Other Duties

  • Performs other duties as assigned, including responding to inquiries, providing program information, and supporting additional administrative tasks as needed.

  • Will be required to complete expense reports in a timely manner.

  • This position will occasionally require working outside of normal working hours.

What we need:

  • Bachelor’s degree in applicable field or equivalent combination of education and experience.

  • Two years of related experience.
