The expected base salary range for this position is $64,350 to $100,000. This salary range may vary based on the candidate’s qualifications, experience, skills, education, and geographic location.

JOB SUMMARY: The Project Budget Analyst supports Project Managers by managing billable services and providing guidance in Change Order development. Key responsibilities include revenue forecasting, ensuring accurate billing, tracking billable project expenses, managing collections, and preparing financial reconciliations. Functional support involves monitoring actual vs. budgeted project activity and expenses, and managing the revenue of assigned projects and associated Change Orders.

ESSENTIAL DUTIES/RESPONSIBILITIES: To perform this job successfully, an individual must be able to perform each essential duty and responsibility satisfactorily. The accountabilities listed below are representative of the knowledge, skills, and/or ability required.

  • For awarded contracts:

  • Upon receiving a signed Work Order (WO), set up a financial project tracker. This tracker will be used to monitor all financial aspects of the project, including professional fee and pass-through activity, revenues, and key financial milestones.

  • Create a corresponding Sales Order in the financial system to record and track the contractual agreements and financial commitments associated with the project.

  • Develop an initial revenue forecast, including accounting for deferred revenue and pass-through expenses.

  • For change orders:

  • Collaborate with Project Managers to create Change Orders by thoroughly reviewing existing budgets. Provide informed recommendations based on an analysis of actual project activities and any changes in project scope.

  • Develop billing schedules for Change Orders. These schedules must ensure accurate billing aligned with the project timeline and client agreements.

  • Integrate the revenue forecasts associated with Change Orders into the project trackers. Ensure these updates accurately reflect projected financial outcomes.

  • Amend project trackers and Sales Order budgets to incorporate any executed amendments. Maintain up-to-date and accurate financial records that reflect the latest project scope and budget changes.

  • During the project lifecycle:

  • Generate and submit accurate invoices for over 30 active projects, ensuring that all billable services and expenses are captured in the project tracker and billed in accordance with client agreements and project timelines.

  • Record and recognize revenue for assigned projects using the Accounting and Revenue Management (ARM) system. Ensure compliance with revenue recognition standards and accurate financial reporting.

  • Continuously monitor and compare actual professional fees and pass-through expenses against the budget. Take proactive measures to address any discrepancies to ensure fees and expenses do not exceed the budgeted amounts, maintaining financial control.

  • Actively pursue collections on outstanding invoices by engaging with clients. Address and resolve any inquiries or issues related to submitted invoices to facilitate timely payment and maintain positive client relationships.

  • Prepare and deliver ad-hoc financial reconciliations and accruals as requested by clients. Ensure that these financial reports are accurate, timely, and provide a clear representation of the project's financial status, helping clients make informed decisions.

  • Other duties as assigned by supervisor. These may, on occasion, be unrelated to the position described here.

EDUCATION REQUIREMENTS: Bachelor's degree in Accounting, Finance or another business-related field.

QUALIFICATIONS/EXPERIENCE:

  • Experience with financial reporting, accounting and/or bookkeeping, especially in a project management environment.

  • Advanced Excel skills.

  • Excellent written and communication skills.

  • Outstanding attention to detail.

  • Experience with project management system a plus.
