Job Description

The Program Coordinator, under general supervision, plays a vital role in the planning, development and implementation of the Cultivating Undergraduates for STEM PhDs (CUSP) initiative and the NSF S-STEM Scholars in Undergraduate Math and Science (SUMS) and the Undergraduate Research Training Initiative for Student Enhancement (U-RISE) at PVAMU student training programs. This position is responsible for managing various administrative tasks, facilitating communication among team members and ensuring the efficient operation of the programs. The Program Coordinator will contribute to the success and growth of the CUSP initiative by providing support in planning logistics, data management and participant engagement.

This position is funded by grants or restricted funds. Continued employment is contingent on the renewal of grants or restricted funds.

This position may pay more than the salary listed above depending on the qualifications and experience of the selected candidate.

Responsibilities:

  • Program Planning and Development: Collaborate with CUSP/SUMS/U-RISE leadership to develop program goals, objectives and strategies. Assist in the design and implementation of program activities, workshops, seminars, panel discussions and other events.

  • Logistics and Operations: Coordinate program logistics, including scheduling, venue arrangements and participant registration. Maintain accurate records of program activities, budgets and resources. Prepare and distribute program-related materials and resources.

  • Participant Engagement: Serve as a primary point of contact for program participants, addressing inquiries and providing assistance. Foster a positive participant experience by ensuring smooth program operations and addressing any issues promptly. Collect feedback from participants to assess CUSP/SUMS/U-RISE program effectiveness and recommend improvements.

  • Communication and Collaboration: Collaborate with internal and external stakeholders to promote programs and initiatives. Maintain regular communication with program partners, participants and team members. Assist in the preparation of reports, presentations and marketing materials.

  • Data Management and Analysis : Collect and analyze program data to measure outcomes and track progress toward program goals. Prepare reports and summaries of program activities for CUSP/SUMS/U-RISE leadership. Identify trends and insights to inform program improvement strategies.

  • Administrative Support: Provide administrative support to CUSP/SUMS/U-RISE programs’ leadership, including scheduling meetings, managing calendars and organizing documents. Assist in budget monitoring and expenditure tracking. Maintain CUSP/SUMS/U-RISE program-related databases, files, websites and social media.

  • Additional Responsibilities: Supervises students in a laboratory setting. Mentor undergraduate students in biology research projects. Performs other duties as assigned.

Required Education & Experience:

  • Bachelor’s degree in a STEM or related field.

  • Two years of related experience.

Required Knowledge, Skills & Abilities:

  • Knowledge of word processing, spreadsheet, and database applications.

  • Verbal and written communication skills.

  • Ability to multitask and work cooperatively with others.

  • Excellent organizational and time management skills.

  • Excellent verbal and written communication skills.

  • Proficiency in Microsoft Office Suite and relevant software applications.

Preferred Qualifications:

  • Master’s degree preferred or equivalent combination of education and experience.

  • Two years of program coordination, project management, or related experience.
