PURPOSE

The Operations Coordinator serves as a day-to-day specialist for several critical Islander Housing services. These services – including communication, event setup and support, package and software logistics, and card access security functions – provide a safe and comfortable physical environment for residents in their academic and personal development. The Housing Operations Coordinator provides excellent customer service within University Housing.

RESPONSIBILITIES

OPERATIONS – 60%

  • Oversee the occupancy management of assigned areas, including the coordination of check-ins, check-outs, room changes, building condition reports, room condition reports, roommate agreements, fire, health, and safety inspections, and damage billing.

  • The Operations Coordinator will also conduct routine inspections to include fire drills and life safety system, move-in/move-out room conditions, grounds, health & safety, and readiness.

  • Supervise the Student Operations Team. To include the training on how to perform tasks, activation of student phone, mail, managing the student rotation schedule and overseeing the payroll

  • Provide and ensure excellent customer service. Monitor and evaluate desk operations in all University Housing office locations. Respond to resident complaints and issues at the direction of the Assistant Directors of Housing Student and Facility Operations. Assist in the implementation of StarRez modules and provide support and backup for all StarRez modules impacting housing operations.

  • Monitoring desk and building resources, building storage room inventory and upkeep.

  • Check rooms/buildings for proper setup and inspect buildings prior to resident arrival

    COORDINATION – 40%

  • Aid in community operations such as break closings and housing selection

  • Management of housing tours and tour guides.

  • Conduct ongoing key audits. Monitor lock usage through regular and spot audits of lock software, and desk operations. Serve as lead within university housing for all aspects of card access software and training.

  • Perform other duties as assigned.

    WHAT YOU WILL NEED

  • Associate's degree.

  • Five (5) years of related experience.

  • Equivalent combination of education and experience may be considered as a substitution for minimum qualifications: Bachelor's degree and three (3) years of related experience OR Master's degree and one (1) year of related experience.

  • Excellent organizational skills.

  • Detail oriented.

  • Intermediate experience with Microsoft Office and Adobe Suite software applications.

  • Ability to work independently, prioritize tasks, and deliver results in a timely manner.

  • Ability to utilize resources, to ask questions, and to troubleshoot to complete job duties.

  • Assess and prioritize multiple tasks and projects in a fast-paced office environment, meeting deadlines and project requirements.

  • Ability and willingness to work flexible hours, including evenings and weekends.

  • Ability to represent Islander Housing in a professional demeanor in person, on the phone and in written correspondences.

  • Ability to lift 40 pounds and have physical stamina

  • Must be energetic and detail oriented with excellent management and organizational skills

    WHAT THEY WOULD LIKE TO SEE

  • Previous experience in Student Housing and/or Student Affairs preferred.

  • Previous University experience is preferred.

  • Previous experience with StarRez.

    SALARY: $43,888/annually, approximately.

  • $3,657.34/monthly.
