About the Position
The Service Coordinator is a highly visible position that serves as the hub for and the successful running of the Facilities Management Department. Great communication skills are paramount for this position, requiring constant contact with team members, residents, vendors and other GHBC staff. Performs independently and exercises a high degree of judgment and initiative in determining the approach/action to take in non-routine situations.
Job Duties
Manages administrative functions and programs for the Facilities Management department which includes maintenance, plant operations, and security. Relieves the Director of a variety of administrative issues by assuming delegated authority in assigned areas.
Assists FM Director managing capital projects. Prepares capital projects and operating budget variance reports.
Manages all Assisted Living and Health Care Center apartment room renovations. Assists FM Director managing IL apartment renovations.
Conducts monthly financial analysis of FM & Grounds p&l’s.
Assists FM Director and FM Manager by providing formal supervision to individual employees within single functional or operational area. Recommends staff recruitment, selection, promotion, advancement, corrective action and termination. Plans and monitors appropriate staffing levels and utilization of labor, including overtime. Prepares and delivers performance appraisal for staff. Mentors and coaches team members to further develop competencies.
Is the liaison to the Resident Grounds Committee and the Resident Building & Operations Committee.
Initiates job/location information into Worxhub and electronic files.
Responsible for assisting the Director, Maintenance Supervisor and maintenance personnel engaged in maintaining the facility and equipment in accordance with policy, regulations, and procedures, to assure a safe, successful maintenance program.
Performs administrative support activities such as maintaining technical files and department records, printing and duplicating services, facility security, purchasing of supplies and equipment, warehousing documents, and preparation of automated payroll records.
Assists in developing employee schedules as requested.
Participates as an active member of monthly Safety Committee Meetings and acts as Secretary to the Committee.
Qualifications
College degree with experience in business or project management a plus.
Strong communication, coordination and organizational skills. Ability to prioritize workload.
Must be a team player.
Must possess ability to deal tactfully and effectively with staff, residents, and contractors.
Excellent verbal and written communication skills required.
Must possess the ability to make independent decisions.
Must be able to collect and interpret data and develop reports, using critical thinking and judgement.
Intermediate proficiency in Word, Excel, Outlook, Power Point and Share Pointe.
Must possess a high standard of confidentiality and professionalism.
Must be self-sufficient and self-directed and perform duties with little or no supervision.
