Compensation Range:

$21.36 - $29.90

The referenced pay range represents the minimum and maximum compensation for this job. Individual annual salaries/hourly rates will be set within the job's compensation range, and will be determined by considering factors including, but not limited to, market data, education, experience, qualifications, expertise of the individual, and internal equity considerations.

Responsibilities:

The Department Coordinator IV provides administrative support within a department, in addition to serving as the principal assistant to Senior Director(s), Director(s), Associate Director(s), or other leadership roles. Responsible for performing a variety of advanced, complex assignments including department accounts working with minimal direction under their own initiative and latitude for independent judgment. Provides work leadership to other support staff. This position deals with highly confidential information and must be able to work with limited supervision and exercise independent judgment.

Responsibilities

GENERAL PURPOSE:

With great latitude and the expectation to exercise independent judgment; serves as the Department Coordinator to the two Social Worker Associate Directors and all Senior Social Workers. This position supports any administrative needs for the Ambassador and Hotel and lodging Services and the RN Acute Care Coordinators. Will serve as backup Department Coordinator to the Senior Director and the Administrative and Finance Directors of Social Work and Patient & Family Services. Essential to the position are strong communication, organization, computer, financial, detail, confidentiality and interpersonal skills, and the ability to make independent decisions when dealing with complex issues or concerns.

RESPONSIBILITIES:

ADMINITRATIVE SERVICES

Manage support for five managers and for each manager┐s staff as required; Coordinate staff training registrations and licensing payments; Coordinate events for Cancer Center Support Groups

Develop and design forms, reports, tables, flyers, PowerPoint presentation.

Manage and track Patient Care Resources; Manage Telecommunication services (pagers, mobile phones, desk phones and voicemail) for staff under multiple accounts.

Identify and recommend equipment needs; negotiate with vendors; and purchase equipment for projects/patient needs.

Coordinate catering for different events and meetings for RN Acute Care Coordinators, Ambassadors and Guest Services, and Social Work Staff

SCHEDULING MANAGEMENT

Coordinate and schedule candidate interviews for the different programs as necessary.

Create, maintain and post Social Work On-Call Schedules, Peds/Perinatal weekend coverage schedules, and RN Acute Care Coordinators Team Schedules

Scheduling New Hire 30-day competency review, 60-day evaluations, 90 day ICARE Session, and 1 year evaluation for Ambassadors and Guest Services management

Enter Pediatric Consultant and Administrator on-call schedules into QGenda

FINANCIAL MANAGEMENT

Complete and ensure accurate F-3 Expense reports for staff reimbursements and uploading to Work Day for payment distribution.

Manage supplies and services for the outreach teams: office supplies, RTS bus passes; brochures, and meal vouchers for multiple accounts

Complete requisitions for 30-day parking (SPARK) passes for multiple accounts.

Responsible for ensuring Patient Care Resources are fulfilled and proper documentation has been received for Audit purposes.

Procurement card purchases for multiple departments and reconcile procurement card transactions in Work Day

DATA MANAGEMENT

Manage, Log and maintain data systems via Redcap for Child Protective Services (CPS)

Log all CPS reports (LDSS-2221A)

Produce quarterly and end of fiscal year reports.

Maintain programmatic reports, and facilitation of statistical reports for CPS.

Organize and file confidential CPS reports by month/year and retention

Additional duties as assigned

Provides coverage for both Reception desks in Social Work and Care Management

Attend staff meetings as required

Serves as a backup Administrative Assistant to Senior Director and Administrative and Finance Directors of Social Work and Patient & Family Services

Assist in coordination with events for Patient and Family Services Programs Manage other responsibilities as assigned.

QUALIFICATIONS:

Bachelor┐s Degree in related field and/or equivalent education and experience required

The individual must have excellent interpersonal/customer service skills, able to demonstrate consistently the ICARE behaviors, administrative support and process improvement required.

Preferred software skills include: Microsoft Office (Outlook, Microsoft Teams, PowerPoint, Publisher and Word), Adobe Acrobat Pro, Zoom, and Visio. Able to maintain a high level of confidentiality preferred.
