ORGANIZATION SUMMARY

Catholic Charities is one of the largest, oldest, and most comprehensive nonprofit human services organizations in Northern California, annually reaching more than 60,000 vulnerable individuals of all faiths in San Francisco, San Mateo, and Marin Counties. With a staff of approximately 450, reaching peaks of nearly 600 with seasonal hires, a budget of $54.3 million, and a current governing board of 27, this venerable, fully-accredited, independent 501(c)(3) nonprofit addresses some of the most pressing community needs – homelessness, generational poverty, immigration, inequality, hunger, aging in isolation, and communicable disease -- to name a few – with compassion and services of highest quality.

Position located in Sonoma county (Sebastopol)

CYO Camp and Retreat Center offers residential camping adventures and counselor-in-training opportunities to youth and reaches out to disadvantaged, low-income, at-risk youth from some of the Bay Area’s most economically impacted and underserved urban areas. Under the guidance of the Director of CYO Camp and Retreat Center and in coordination with the Director of Operations the Office Manager will provide administrative support for all programs and teams, additionally assisting all staff as appropriate.

  • Handle confidential finance information, process and coordinate all accounts receivable and accounts payable activity with the Director of Operations and the Catholic Charities finance department.

  • Responsible for processing, recording and tracking camper and group fees while reporting financial information to Catholic Charities finance department.

  • Assist in processing and filing contracts.

  • Support all department’s(Retreats, Outdoor Education, Summer Camp) activity and event calendar.

  • Primary communications liason between clients and departments.

  • Responsible for all incoming and outgoing mail.

  • Monitor and answer the general camp phone and respond appropriately.

  • Manage the maintenance and preparation of all camp financial and program records.

  • Maintain systems to support the overall record keeping for camp programs and departments.

  • Maintain appropriate levels of office supplies and monitor the condition of all office equipment and be the primary contact for IT support.

  • Handle confidential and non-routine information and explain policies when necessary.

  • In coordination with the Director of Operations, manage summer camp registration CRM, Square and Weebly transactions

  • Compile and managing weekly merchandise sales, process payments and keep inventory.

  • Provides support in updating the social networking sites associated with CYO Camp and Retreat Center.

Education & Experience:

  • Minimum High School Graduate or GED equivalence.

  • Prior experience in an office enviroment

  • Prior customer service or sales experience

Knowledge, Skills & Abilities:

  • Strong computer skills required, specifically Microsoft Office including Word, Excel and PowerPoint

  • Experience with Google Suite (Forms, Sheets, Calendar, Gmail, Docs, and Drive)

  • Excellent communication skills including oral and written

  • Ability to work independently and efficiently with accuracy and professionalism

  • Basic knowledge on the use of various office equipment including computers, printers, copiers, and phone systems.

  • Ability to interface effectively with all levels of guests, management and employees

  • Extremely detail oriented and highly organized with exceptional follow-up skills

  • Familiarity with data management systems

  • Excellent data entry skills into existing camp database software

  • Excellent customer relations skills

  • Demonstrates the necessary attitudes, knowledge and skills to deliver culturally competent services and work effectively in cross-cultural situations.?
