PURPOSE

The Business Admin I position is responsible for providing and processing all financial and budgeting needs for the Division of Student

Engagement and Success to include Islander Housing. This position manages the full range of business activities including reviewing and approving business documents and developing, monitoring, and reporting accounts, budgets and other quantitative data for the Vice President for Student Engagement and Success (SEAS) and will supervise 3 business coordinators within the SEAS Division. This position will manage and lead in the division’s annual fiscal year closing activities, resolve operational and procedural financial problems, prepare and analyze business reports, manage allocations and reporting, perform analyses of resource allocations and operating fund requirements, and manage cash handling activities and capital equipment purchasing.

RESPONSIBILITIES

Functional Areas 1: Admin & Operations:

Percent Effort 90%

  • Manage and oversee all accounts for the Division of Student Engagement and Success and Islander Housing.

  • Lead, coordinate, and maintain business/financial matters including purchasing, travel, and cash handling for the division.

  • Assist SEAS departments in annual budget requests and preparation of required forms to include projection of fee income and other revenue. Prepare documents for any proposed fee increases.

  • Review Division's departmental budgets, to include Islander Housing, monthly and enter departmental budget requests (DBRs). Research discrepancies from transactions within departmental accounts and assist in correcting issues. Provide management reports to monitor expenditures and budget status. Serve as liaison with the Budget Office for all matters related to SEAS and Islander Housing.

  • Perform bookkeeping and fiscal record keeping. Monitor and maintain departmental contracts, projects, and schedules. Use information from authorized requests to prepare on-line forms to comply with university procedures. Handle vendor inquiries, enter/maintain data and paperwork in financial record keeping systems.

  • Enter new hires into the EPA module, ensuring information, account numbers, and details are accurate. Prepare any type of income for deposits. Receive checks and prepare deposits according to university/departmental procedures including transporting deposits to Business Office. Handle inquiries about routine billing by university service departments such as Facility Services, Telecommunications, University Services, etc.

  • Process purchase orders, prepare monthly reports, perform data entry, and reconcile accounts. Enter/receive items on purchasing module accurately. Provide detailed specifications when entering items into the module so that the document can serve as a historical report and provide accurate information on items/services purchased to include a breakdown of quantity, type, size, color, item number, etc.

  • Enter data in financial record keeping systems to provide management reports as needed to monitor revenue/budget status.

  • Ensure proper account numbers and object codes are being used/assigned. Ensure purchase orders are entered in a timely manner so that PIP reports are not issued. Serve as lead for processing departmental contracts, copiers, and various other vendor contracts used in the office or Division.

  • Assist in the coordination of departmental fiscal year end processes. Maintain and organize VPSEAS office suite filing system, making sure that resources/forms are available for staff. Update/purge/retain files as per university/departmental policies for all documents. Correspond with Division staff to make them aware of necessary deadlines. Maintain office manual on essential procedures related to this position and SEAS. Work collaboratively with other staff in the department to provide support and assistance to all projects, programs and activities.

  • Serve as the travel coordinator in the VPSEAS office, handling travel paperwork for all full-time staff. Communicate to Division any issues as they pertain to business/financial matters ensuring compliance with university policies and procedures.

  • Attend training sessions provided by Finance and Administration, such as accounting, budget, travel, procurement, payroll, etc.

  • Participate in Divisional initiatives.

  • Perform other duties as assigned.

  • Represents the Division of Student Engagement & Success at appropriate activities and functions both on and off campus.

  • Works effectively with a wide variety of constituent groups including students, university staff, faculty, and the public.

  • Participate in Divisional initiatives.

  • Serves on various division and university committees.

  • Upholds all applicable laws, regulations, policies, and procedures.

  • Participates in special projects and performs other duties as assigned.

    WHAT YOU WILL NEED

  • Bachelor’s degree.

  • Five (5) years of related experience in general office, accounting, or personnel operations.

  • Intermediate skills in Microsoft Office Suite (Word, Excel, PowerPoint, and Outlook).

  • Interpersonal and communication skills. Planning and organizational skills.

  • Ability to multitask and work cooperatively with others.

    WHAT THEY WOULD LIKE TO SEE

  • Master's degree in accounting, business, or closely related field.

  • Five (5) years related experience in a collegiate environment.

    SALARY $65,000 - $75,000 (Dependent upon education and experience)

  • Monthly $5,416.67 - $6,250
