Position – Analyst, Travel Desk

Location – Mumbai

Purpose of the Role:

Responsible for day-to-day execution related to Travel function and assisting the Travel team in effective implementation of policies and procedure Pertaining to Travel, vendor relationship management, vendor Contracting and Handle Visa/FRRO applications and formalities. Any other role as decided by the Head of department or reporting line and assigned from time to time.

Main Responsibilities:

Customer

Develop and maintain strong stakeholder management with key stakeholders both within MUFG and externally. Ensure swift and timely bookings, to cater to all travel requirements of employees Work in partnership with various external service providers to coordinate services to be delivered to internal stake holders. Work in partnership with internal customers to resolve or handle escalations in relation to external vendors. Seamless coordination for entire travel leg booking and timely communication with internal stakeholders regarding the options and booking details.

Financial

Negotiate on proposals sent by vendors by comparing with similar services and standards, checking comparative proposals etc. Proposing new vendors or engagements such that services can be consolidated and costs optimized. Control wastage and optimize usage, to save costs for the bank. Maintain the monthly travel expense sheet. Maintain and approve all travel bills and email them to the finance department. Ensuring that the best rates and travel and stay plans are opted at all times. Negotiate rates. Responsible for renewal of annual hotel, cabs and airline contracts at best negotiated rates.

Strategic

Provide necessary data, input, analysis for framing travel policies and procedures. Maintaining the due date control and track of annual renewal. Handle visa applications and formalities promptly. Personally tracking and managing the bookings of senior management members.

Other Core responsibilities

Following and enforcing the company's Travel policies and procedures. Reviewing, comparing, and analyzing Travel Data. Maintaining accurate Travel records in MIS. Maintaining good Vendor relations and negotiating contracts. Meticulously following the TAT for closing all travel/Visa requests. Managing travel plans for all staff PAN India, this includes managing booking for airlines, trains, cabs, and hotels. Accurately complete end to end travel requirements both international and domestic travel arrangements for air, hotel, rail, requests for ticketing, fares, routing, and visa requests for Business Travel. Manage emergency changes/cancellations for the travel request.

Skills & Knowledge

  • Proficiency in Microsoft Office.

  • Knowledge of bulk booking software and technologies like IATA, Amadeus, Galileo preferred

Awareness about international travel regulations, customs, and currencies.

  • IATA certification, Diploma / Degree in travel & tourism would be added advantage.

  • Strong communication and negotiation skills, Good analytical and strategic thinking skills.

Education & Professional Qualifications

  • 5-7 years of experience as a Travel Desk executive or in a similar position.
