Who we are
The mission of Scholarships & Financial Aid is to provide students and their families with information and financial resources to attend Texas A&M University, along with support programs that promote higher education and developmental opportunities. We administer scholarships and financial aid, which include the following programs: grants, student loans, student employment, veteran educational benefits, athletic aid coordination, short-term loans, and emergency tuition and fee loans. In addition our office provides advising on the programs listed above. Our office also assist students in gaining financial literacy knowledge through our Money Education Center. Our office is responsible for processing student aid and veteran educational benefits for College Station, Galveston, all Health Science Center sites and Qatar which totaled approximately $836 million in financial aid assistance for the prior academic year.

Scholarships & Financial Aid is seeking an Administrative Coordinator I, to manage office support activities and provide support in the Administration and Operations areas of our department. The successful candidate will have a customer service centered mindset. Time management, adaptability, meticulous organization skills and attention to detail are crucial for success in this position. What you need to know
Salary: $45,000 Annually

Other Requirements or Other Factors: Must comply with Texas A&M System Policy 07.02 - Texas Higher Education Fair Lending Practices. Must be in good standing on all Federal Student Loans. The U.S. Dept. of Education will not grant access to student loan data for any individual who is in default status. Access to such information is a necessity for this position. Must be able to rectify default status within three months of employment. Good standing must be maintained for continued employment.
Qualifications
Required Education and Experience:
Bachelor’s degree or any equivalent combination of education and experience.
Two years of experience in office administration.
Preferred Experience:
Three years of experience in general office or clerical work, including previous supervisory experience.
Previous experience with the following: customer service, financial aid, Texas A&M, supervising employees, and data analysis and reporting.
Required Knowledge, Skills and Abilities
Working knowledge of spreadsheet and word processing software programs.
Good Interpersonal and communication skills, both written and verbal.
Keyboarding skills.
Ability to multi-task and work cooperatively with others.
Ability to perform accurately in a detail-oriented environment.
Literacy in English language, and able to comprehend and follow both written and verbal instructions.
Preferred Knowledge, Skills, and Abilities:
Ability to plan and organize effectively. Accurate typing of 30-50wpm skills.
Banner financial aid module knowledge.
Knowledge of financial aid principles.
Expert knowledge of Microsoft Office, Excel, Outlook, PowerPoint, and Word; Knowledge of TAMU rules and practices.
Strong interpersonal skills, empathy and understanding of human relations, common sense, tactfulness, sensitivity, honesty, commitment, and dedication to a student development/educational philosophy.
Ability to cultivate and maintain professional working relationships with people of varied backgrounds.
Bilingual abilities. Ability to relate well with a varied student population.
Ability to use tact, diplomacy, and judgment in dealing with all customers.
Ability to work as a team member in a dynamic organization, possessing positive attitude and customer service orientation.
Ability to perform accurately in a detail-oriented environment with good interpersonal communication skills and the ability to plan, organize and make decisions.

Job Responsibilities
Administrative Support
Serves as administrative support to Directors and Associate Directors. Scheduling meetings, creating agendas from information provided by directors and provides to meeting attendees prior to a meeting, assisting other office staff as needed. May assist Assistant Vice President as needed. Provides administrative support for specialized activities or projects. Assists in resolving complex, highly sensitive and confidential administrative matters. Responds to non-routine information requests. Reviews and routes forms and other necessary documents for supervisor or other Directors. Supervises the creation, maintenance and retention of office files and records. Assures the confidentiality of mail, correspondence, and reports. Serves as a liaison for departmental equipment and service contracts. May create and maintains administrative databases to include but not limited to addresses and materials, updating when necessary. Coordinates travel for the Director, Associate Directors, and others in SFAID Operations as needed. Answers phones, greets visitors/staff, responds to inquiries regarding procedures and policies, and retrieves general and detailed and/or confidential information via computer. Serves as backup supervisor of student assistants as needed. Research, compiles, data as requested and applies appropriate information, making evaluative judgments on the data to use. Will serve as the backup for the Executive Assistant on all their work responsibilities.
Customer Service
Manages front desk for the office. Assists with front-line communications on behalf of the administrative team of SFAID. Determines whether consultation with operations or scholarships staff member is needed. Provides financial aid information and appropriate forms to applicants, students, parents, administrators, and employees. Keeps abreast of changes in financial aid information to ensure compliance. Participates in (and may lead) working groups within the department.
Office Support
Records and submits readings for multiple vendor copier machines monthly, maintaining a log and compiling data for reference and analysis. Requests maintenance and supplies as needed. Maintains copier asset inventory. Coordinates storage for Administration and Operations and analyzes needs for additional storage when necessary for SFAID events. Responsible for use and maintenance of the binding machine and paper cutters. Assists with access to NSLDS, FAA Access, and Compass. Manage and maintain database of certified mail process when needed. Coordinates mail for area, business parking placards, parking validation, logs for staff visiting other areas on campus. Responsible for establishing, coordinating, and maintaining shipping accounts with outside vendors. Coordinates shipments, prepare shipments for departmental staff and orders and distributes shipping supplies as needed. Orders staff longevity and employee of the semester awards.
Events
Assists with logistical and administrative support for events, meetings, or other special functions, including on-site support during event. Assists with presentation and communication materials. Provides administrative support for activities residing in the Administration and Operations section of SFAID as needed and in conjunction with Executive Assistant as needed
