What we want The Administrative Coordinator works under general supervision and provides administrative support for the Office of Academic Affairs. You will resolve inquiries and provides information to faculty, staff, and visitors. This role assists with various projects, business processes, and travel while exercising discretion and independent judgement with respect to matters of significance.

Salary: Compensation will be commensurate to the selected hire’s experience.
Required Education and Experience:
Bachelor's degree or equivalent combination of education and experience
Two years of experience in office administration
Required Knowledge, Skills, and Abilities:
Working knowledge of word processing, spreadsheet, database, and presentation software programs
Excellent interpersonal and communication skills
Ability to multitask and work cooperatively with others
Ability to plan and organize effectively
Preferred Qualifications:
4 years of Administrative Coordinator office experience, preferably in education or healthcare
Effective communication skills
Experience with project support/coordination
Experience with Microsoft Office products (Word, Excel, PowerPoint, Outlook), databases, Google applications , and related technology and software
Responsibilities: Scheduling Management
Manages calendar scheduling and coordinate support for the Senior Associate Dean of Academic Affairs and other Academic Affairs leadership as needed.
Arranges and coordinates travel arrangements, required approvals, account information, and financial paperwork.
Schedules, organizes, monitors, and takes minutes for various meetings.
Makes recommendations for process improvements, administrative changes, or new initiatives.
Develops administrative and technical procedures.
Office Management
Determines need, approves, authorizes, and monitors expenditures and allocation of office supplies for the Office of Academic Affairs.
Prepares correspondence and perform administrative duties for the Senior Associate Dean and other professional personnel in the Office of Academic Affairs.
Creates efficiencies and improves effectiveness of office procedures by creating standardized document templates, implement improvements in filing system, and optimizing the local organization of electronic materials.
Maintains primary responsibility for projects converting processes to digital formats where applicable.
Sets clear, meaningful, and mission-appropriate administrative goals and priorities.
Answers/ triages phone calls and in-person inquiries made to the Office of Academic Affairs.
Ensures faculty & staff within the department have access to policies and procedures.
Provides technical information regarding administrative procedures, services, or programs.
Manages inventory for the Office of Academic Affairs.
Program Support
Performs special analyses and project summaries.
Develops meeting and background material for institutional and campus meetings, academic programs, and accreditation activities.
Serves as staff support for administrative meetings, councils, and committees.
Prepares and reviews operational and special reports.
Makes recommendations for process improvements, administrative changes, or new initiatives.
Special Projects & Events
Manages and collaborates on various special projects, events sponsored by the Office of Academic Affairs and School of Medicine events as needed.
Provides direct support for the Office of Academic Affairs and assists with student events as needed.
Arranges meetings, prepares material, and ordering supplies & catering.
Provides general administrative support including preparing background material, scheduling, ordering, and organizing the projects/events.
Analyzes and summarizes researched data and work independently on assigned special projects/events, including preparation of reports and presentations for the Senior Associate Dean.
Performs other duties as assigned.
