The School of Dentistry is looking for an Administrative Associate V to serve in the Department of Oral and Maxillofacial Surgery . We desire an individual who subscribes to and supports our commitment as stated above. What you need to know

Proposed Salary: $21.00 hourly

Work Schedule/Location: This is an on-site role with a typical schedule of Monday – Friday 8am to 5pm.

Required Education and Experience:

  • High school diploma or equivalent combination of education and experience.

  • Five years of experience in a general office setting.

Required Special Knowledge, Skills, and Abilities:

  • Demonstrate strong interpersonal, written, and verbal communication skills and the ability to apply them to all levels of the organization.

  • Strong attention to detail, well-organized, and able to manage time efficiently.

  • Analytical, planning, and problem-solving skills.

  • Willingness to learn and be coached.

  • Proficiency with Microsoft 365 applications including Word, Excel, PowerPoint, Forms, and OneDrive.

  • Ability to collaborate and work cooperatively with others or independently once given a project.

  • Unquestionable ethics and ability to work with sensitive information and maintain confidentiality.

  • Rudimentary knowledge of basic financial and accounting principles.

Preferred Qualifications:

  • Bachelor's degree.

  • Experience working with medical professionals.

  • Knowledge of electronic health record software and practice management software.

  • Five years’ experience at Health Science Center or in a Higher Education setting.Knowledge of software administration.

  • Detail-oriented, highly motivated individual, with the ability to balance multiple tasks simultaneously.

  • Able to identify problem areas in need of improvement and implement new administrative systems and procedures to provide a solution.

Essential Duties/Tasks:

Office Administration

  • Responsible for the coordination of the department's daily administrative operations, including answering phones and composing correspondence; processing and distributing mail; entering invoices and requisitions; account reconciliation, maintaining database information, document retention; ordering and maintaining office supplies, inventory, and assets; and provide a variety of secretarial and administrative support to the D epartment H ead, the Department Administrator, F aculty and to the entire department.

  • Interface with senior-level university administration and high-level external program affiliates and business partners in a professional manner .

  • Provide information requiring comprehensive knowledge of university and department policies, procedures, and operations.

  • Serve as liaison for the Department, faculty, staff, students, alumni, outside entities, and the public.

  • Assist with recruitment, interviews, orientation, and onboarding of residents, interns, externs, and other departmental staff.

  • Under general direction using advanced software, research, summarize and analyze information, calculate statistics, and compile data to prepare individual and recurring reports containing specialized or sensitive information.

  • Maintain confidential department, student, and faculty files.

  • Other duties as assigned.

Administrative Support

  • Plan and arrange meetings, conferences, and events, prepare agendas and minutes and create digital and print materials.

  • Create and review operational documents.

  • May assist with the creation and management of content for websites and social media.

  • Cross-train with Department Program Coordinator

Finance/Business Administration

  • Assist Department Head and Department Administrator with coordinating business affairs and personnel matters; review, evaluate, and resolve problems within the scope of position; and ensure effectiveness and compliance with university policies, procedures, and regulations.

  • Arrange travel and process all required expense reports and travel documents for the Department.
