GENERAL DESCRIPTION:

This position supports the Wyoming Life Resource Center (WLRC) by providing supervision, operational training, and department oversight to the administrative assistants on campus so that consistent administrative support can be given to multiple and diverse departments at WLRC. These departments include medical, behavioral, residential, administrative, physical plant operations, professional development, medical records, security, therapies, and Allied Health. The position also includes administrative duties such as typing and distributing meeting minutes, tracking daily/weekly compliance documentation, and scheduling appointments on Google calendars.

ESSENTIAL FUNCTIONS: The listed functions are illustrative only and are not intended to describe every function which may be performed at the job level.

  • Provide administrative support to multiple departments at WLRC.

  • Perform clerical duties such as data entry onto a variety of forms, typing, and distributing meeting minutes, ordering supplies, and record keeping.

  • Schedule and coordinate appointments, events, and meetings for multiple staff members and departments.

  • WLRC Human Rights Committee compilation of resident records for the Committee's review, approval, and filing.

  • Receive, analyze,e and respond to requests for information from staff, administrators, and Administrative Assistants, and prepare related reports.

  • Transcribe mortality reports for medical providers.

  • Serves as a backup staff to the campus reception desk by answering telephones, taking messages directing calls to appropriate staff/departments, and providing efficient customer service to visitors, guardians, residents, and staff.

  • Provide direct supervision to subordinate staff which includes motivation, team building, scheduling, training, counseling, and disciplinary actions when needed to all Administrative Assistants on campus. This includes onboarding of new hires and ongoing training for existing staff. This training includes familiarizing new hires with Google Suite applications, Google Shared Drives, switchboard equipment, and processes for the reception desk including visitor check-in, mail distribution procedures, transcription and meeting minute procedures, campus radio procedures, and General Event Report (GER) reporting and organization.

  • In order to maintain ongoing training and enhance workflows, this position is responsible for maintaining templates, directories, and team processes and procedures. This position uses judgment as to when to revise these and completes training with the Administrative Assistants to ensure consistency while applying knowledge of programmatic and administrative requirements.

  • Assign additional training as necessary to the Administrative Assistants.

  • Review and revise work duties of Administrative Assistants as needed to ensure priority assignments are completed timely.

  • Provide assistance to the Executive Assistant to the Facility Administrator as needed.

  • Prepare and process travel requests, and collect and collate data for reports and presentations.

  • Resolve problems and make recommendations for improvements to the SNF and ICF Administrators on formatting and organization of spreadsheets, policies and procedures, and meeting agendas.

  • Perform other duties as assigned by the SNF and ICF Administrators.

  • Daily and weekly compilation and tracking of compliance evidence to include CMS-required documentation, which includes security checkpoint sheets, high-touch surface cleaning, and daily staff and resident temperature sheets.

Policy and procedure spreadsheet tracking.

  • Other duties as assigned.

Qualifications

PREFERENCES:

Preference may be given to applicants with two (2) or more years of experience working in healthcare, long-term care, or behavioral health settings.

Experience in government operations.

Experience taking and organizing meeting minutes and operation of a multi-line telephone system.

Experience with Microsoft Office and Google Suite products is a plus.

KNOWLEDGE:

  • Knowledge of Administrative Assistant (BAAS05) position and processes so that training and oversight can be completed.

  • Ability to supervise, counsel, teach, and train others.

  • Knowledge of scheduling multiple Administrative Assistant assignments.

  • Excellent organizational skills with the ability to prioritize work.

  • Experience using computers and office equipment (scanners, printers, copiers, etc.).

  • Proficiency with Google G-Suite, including Google Docs, Google Sheets, Google Drive, Google Calendar, and Google Forms.

  • Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint).

  • Proficiency with audio and video conferencing systems.

  • Proficiency with electronic medical records systems.

  • Ability to handle confidential and protected information.

  • Excellent written and oral communication skills.

  • Ability to work with and around WLRC residents, including those who may display challenging behaviors.

MINIMUM QUALIFICATIONS:

Education:

Associate's Degree (typically in Business)

Experience:

0-1 year of progressive work experience (typically in Business Office Communications) with acquired knowledge at the level of an Office Assistant II

OR

Education & Experience Substitution:

2-4 years of progressive work experience (typically in Business Office Communications) with acquired knowledge at the level of an Office Assistant II

Necessary Special Requirements

PHYSICAL WORKING CONDITIONS:

  • Typically, the employee may sit comfortably to perform the work; however, there will be some walking, standing, bending, carrying light items, etc.

  • Must be able to interact with and perform work in the presence of facility residents, including those who have aggressive and challenging behaviors.

  • The Wyoming Life Resource Center participates in E-Verify.
