Summary:

Reporting to the Logistics Specialist Lead, the Logistics Specialist is responsible for accurate data entry, product retrieval, and material issuance. This role ensures precise physical receiving, transferring, issuing, and inventory management of National Science Foundation (NSF) materials. The Logistics Specialist supports Cargo and inventory improvements by providing actionable recommendations and delivering high-quality customer service to internal and external clients. This role involves processing, packaging, and staging an average of 12,000 lbs. of retrograde cargo per cruise, as well as offloading, receiving, and delivering approximately 40,000 lbs. of southbound cargo per cruise. The Specialist assists in port call planning, participates in longshore cargo handling for 20’ containers and break-bulk cargo, and successfully manages work responsibilities alongside community and volunteer commitments.

Position Responsibilities:

  • Prioritizes safety and ensures adherence to workplace safety standards.

  • Oversees the packaging, crating, labeling, storage, and documentation of all northbound cargo, ensuring proper handling for property from science, construction, operations, maintenance, and other USAP agencies being transported to CONUS, OCONUS, and Punta Arenas.

  • Maintains and updates the preliminary northbound manifest.

  • Coordinates with ASC Departments, Grantees, and Subcontractors to ensure the timely arrival and receipt of materials.

  • Implements and monitors quality assurance practices throughout cargo movement and container loading/unloading processes.

  • Manages and maintains the Maximo Inventory and Shipping Modules, including data entry for shipping numbers and editing.

  • Keeps accurate records of northbound and southbound shipping documentation.

  • Handles the receipt, storage, and issuance/return of materials, providing forklift support as necessary. Utilizes the ERP database to research stock information, determine locations, and monitor stock levels.

  • Processes electronic purchase requisition receiving and performs data entry for cargo received on station.

  • Investigates and resolves discrepancies in received materials by preparing WODS (wrong, overage, damaged, or short) reports.

  • Produces standard and custom reports for ASC departments within Maximo.

  • Conducts inventories of station supplies and maintains maps of external storage locations.

  • Participates in longshore cargo handling duties, including the movement of 20’ shipping containers, break-bulk, and hazardous cargo weighing up to 20,000 lbs., and handles taglines for cargo operations.

  • Participates in onsite emergency response team activities and training.

  • Coordinates with Grantees and ASC departments to ensure the accurate processing, timely packing, and movement of mission-critical materials.

  • Fields and resolves cargo-related inquiries and discrepancies related to Logistics or Maximo systems.

  • Operates heavy equipment to load/unload cargo from shipping containers and transport cargo around the station.

  • Performs strenuous physical labor outdoors in varying weather conditions, often for extended periods.

  • Frequently climbs vertical ladders to access equipment or cargo platforms.

  • Supports operations outside regular working hours and during ASC days off.

  • Maintains Palmer Station’s SDS (Safety Data Sheets) library.

  • Ensures warehouse and outside storage areas (OSA) are organized and clean, performing general housekeeping as needed.

  • Performs other duties as assigned by Logistics Department management, including outdoor work in diverse temperatures.

Required Education, Experience, Certificates and Licenses:

  • High School diploma or GED.

  • Minimum of two years' experience in inventory materials management, warehousing, purchasing, cargo/transportation, supply chain, or logistics, including the use of forklifts, hand trucks, and other powered and non-powered lifting devices.

  • Alternatively, a minimum of one season of experience in the Transportation and Logistics (T&L) department or related areas in Antarctica.

Preferred:

  • Familiarity and capability to identify commodities within specific functional or trades group areas, including Medical/Dental; Construction/Residential Repair; Automotive/Heavy & Industrial Equipment; Science/Lab Support; Food/Beverage/Retail; Office/Hotel/Janitorial Supplies; Electrical/Plumbing/Utilities/Carpentry/Fire Safety; Information Technology/Communications Supplies.

  • Working knowledge of materials movement, purchasing, inventory management, and hazardous materials.

  • Advanced skills in Microsoft Excel, Word and Power Point.

  • IBM Maximo experience.

  • Previous deployment to Antarctica.

  • Experience with remote site logistics is highly desirable; experience with polar logistics operations is preferred.

Physical and/or Other Requirements :

  • Willingness and ability to deploy to Antarctica for extended periods.

  • Successful completion of Medical and Dental examinations required by the NSF for deployment to Antarctica.

  • Successful completion of drug screening and background check required by employer.

  • Successful completion of Federal Background Check required by the NSF.

  • Must be willing and able to lift and move items, parts, assemblies, and equipment up to the safety regulation maximum as required by the position.

  • Must be willing and able to perform physical activities including heavy lifting, climbing in and out of equipment, crawling, and working outdoors in extreme cold as required by the position.

  • Must participate in community programs, such as “house-mouse” (chores), “daisy-picking” (cleaning-up around the station), recycling efforts & safety objectives.

  • Valid Driver’s License issued in the United States.

  • Must be able to obtain and maintain facility credentials/authorization. Note: US Citizenship is required for facility credentials/authorization at this work location.
