Summary:
Reporting to the Full-Time Supply/Logistics Supervisor, the Lead Logistics Specialist is responsible for supervising and guiding the work of the Logistics Specialist, ensuring smooth operations by managing shifts and coordinating multiple workgroups. This position is responsible for leading the station's Logistics Department, managing daily task assignments, and ensuring efficient workflow. It involves close collaboration with the program shipping agent in Chile to facilitate southbound cargo movements and resupply requests for Chilean materials. The Lead Logistics Specialist performs data entry to maintain accurate inventory management, receiving, and cargo tracking records, ensuring accountability for National Science Foundation (NSF) materials. Key responsibilities include coordinating port call planning and execution, participating in longshore cargo handling for 20’ containers and break-bulk cargo, and supporting science cargo movements for grantee groups. The position plays a critical role in developing and implementing team goals, ensuring materials and cargo are handled promptly and efficiently to meet operational needs. Strong leadership skills, attention to detail, and the ability to manage multiple tasks and priorities are critical for success in this dynamic role, while effectively balancing work responsibilities with community and volunteer commitments.
Position Responsibilities:
30% Managing Process: Ensures all operational procedures are effectively followed, identifying and recommending improvements to standardized processes within the Logistics Department. Evaluates and analyzes workflows to eliminate inefficiencies. Oversees the receipt, storage, issuance, and return of materials, including operating forklifts as needed. Utilizes the ERP database to determine stock locations and levels. Maintains a safe workplace, prioritizing safety as the highest concern and complying with ASC Environmental, Safety and Health (ESH), Waste Management, and Quality Assurance policies and procedures.
10% Coaching and Developing Associates: Provides guidance and oversight to associates to ensure productivity, safety, service, and quality standards are met. Conducts training, coaching, and feedback sessions with Logistics Specialists on ERP systems, inventory management, customer service, port call operations, and other logistics functions. Resolves associate relations issues and addresses performance concerns. Investigates operational errors, identifies root causes, and implements corrective actions.
60% Drives Results: Manages south-bound cargo operations, creating and maintaining priority cargo reports and collaborating on port call plans with vessel and station staff. Oversees Chilean resupply requests and ensures accurate documentation for north- and south-bound shipments, including manifests, sample advisories, and audit records. Conducts weekly inventory audits and generates metrics for monthly and yearly reporting. Handles incoming and outgoing shipments, including temperature-sensitive and hazardous cargo, and ensures all materials are properly labeled, stored, and packed. Coordinates with ASC Departments, Grantees, and Subcontractors to guarantee timely shipments. Oversees quality assurance in cargo handling and container operations, ensuring compliance with safety and operational standards. Performs data entry in Maximo for inventory management, shipping, and receiving, while researching and resolving discrepancies (WODS). Actively participates in longshore cargo handling for 20’ containers, break-bulk, and hazardous materials, ensuring efficient and safe operations.
Completes annual training forklift use, and inventory management systems during deployment.
Will frequently climb vertical ladders and platforms to access cargo.
Performs other duties as assigned by department management, including outdoor work in varying temperatures.
Required Education, Experience, Certificates and Licenses:
Associate degree plus one year of equivalent experience in inventory materials management, warehousing, purchasing, cargo/transportation, supply chain, or logistics, including the use of forklifts, hand trucks, or other powered and non-powered lifting devices.
Alternatively, a high School diploma or GED with a minimum of three years’ experience in inventory materials management, warehousing, purchasing, cargo/transportation, supply chain, or logistics, including the use of forklifts, hand trucks, or other powered and non-powered lifting devices will be accepted in in lieu of a degree.
Alternatively, a minimum of two seasons of experience working in the Transportation and Logistics (T&L) department or related areas in Antarctica will be accepted in in lieu of a degree.
A minimum of one year of experience must be in a supervisory role, or a minimum of two seasons of experience working in the Transportation and Logistics (T&L) department or related areas in Antarctica.

Familiarity and capability to identify commodities within specific functional or trades group areas, including Medical/Dental, Construction/Residential Repair, Automotive/Heavy & Industrial Equipment, Science/Lab Support, Food/Beverage/Retail, Office/Hotel/Janitorial Supplies; Electrical/Plumbing/Utilities/Carpentry/Fire Safety; Information Technology/Communications Supplies.
Working knowledge of materials movement, purchasing, inventory management, and hazardous materials.
Advanced skills in Microsoft Excel, Word, and PowerPoint.
IBM Maximo experience.
Previous deployment to Antarctica.
Experience with remote site logistics is highly desirable; experience with polar logistics operations is preferred.
Physical and/or Other Requirements :
Willingness and ability to deploy to Antarctica for extended periods.
Successful completion of Medical and Dental examinations required by the NSF for deployment to Antarctica.
Successful completion of drug screening and background check required by employer.
Successful completion of Federal Background Check required by the NSF.
Must be willing and able to lift and move items, parts, assemblies, and equipment up to the safety regulation maximum as required by the position.
Must be willing and able to perform physical activities including heavy lifting, climbing in and out of equipment, crawling, and working outdoors in extreme cold as required by the position.
Must participate in community programs, such as “house-mouse” (chores), “daisy-picking” (cleaning-up around the station), recycling efforts & safety objectives.
Valid Driver’s License issued in the United States.
Must be able to obtain and maintain facility credentials/authorization. Note: US Citizenship is required for facility credentials/authorization at this work location.
