Description
We are offering contract employment opportunity for an Executive Assistant in the non-profit sector based in Virginia Beach, Virginia. As an Executive Assistant, you will take on a variety of duties, including office coordination, board relations, compliance, human resource management, IT oversight, procurement, and vendor management.
Responsibilities:
• Oversee the functions of Office Coordinator and Front Desk, including the corporate mailing system, office policies, corporate phone system, and vendor management.
• Manage Board Relations, including managing calendar needs and correspondence for Board meetings, preparing agendas, and recording minutes for Board meetings.
• Act as Board Liaison to the City Clerk’s Office and other City Departments, responding to FOIA requests.
• Ensure compliance with the organization's bylaws and FOIA laws at Board meetings.
• Handle Human Resource duties, such as using Human Resource systems, benefits administration, employee recruitment and screening, and employee engagement activities.
• Manage Information Technology consultant and all company equipment.
• Oversee procurement for office supplies, equipment, business cards, stationary, and other consumables.
• Handle invoicing for office and human resource vendors, managing Purchase Orders.
• Ensure compliance with the organization’s procurement policy and vendor management.
• Conduct assigned marketing activities, such as sending emails and updating the website.
• Manage employee recruitment, new permanent staff screening, onboarding, and offboarding.
• Maintain and secure all personnel files and confidential files.
Requirements
• Minimum of 3 years of experience in a similar role, preferably within the non-profit sector
• Proficient in CRM tools, with a proven track record of managing customer relationships effectively
• Advanced level of Excel is a must
• Strong communication skills, both written and verbal, are essential as well as calendar management
• Experience in managing conference calls, ensuring smooth and efficient communication
• Ability to handle correspondence with professionalism and discretion
• Proficient in Microsoft Office (Word, Excel, PowerPoint, and Outlook)
• Knowledge of Adobe Acrobat and OneDrive for file management and sharing
• Experience in board reporting and creating board presentations
• Proven ability to accurately record meeting minutes
• Experience in onboarding new employees, ensuring a smooth transition into the organization
• Familiarity with DocuSign for managing electronic agreements and contracts
