Work involves oversight of and purchasing, receiving stock, maintaining individual tool inventory list, preparing or assisting in the preparation of specifications, anticipating future needs and initiating purchase requests, costing out purchases to individual jobs and preparing reports. Maintains information within the CAFM work order program. Functions as Back up to CAFM Manager. Performs correspondence required as Secretary to Plant Maintenance Manager, preparing reports and meeting minutes, records employee's time as back up time keeper, and schedules employees for in service, refresher and required training. Works under limited supervision with considerable latitude for the use of initiative and independent judgment. Work is performed on the Vernon Campus and may be reformed on the Wichita Falls Campus as needed, under the supervision of the Maintenance Administrative Coordinator, Assistant Plant Maintenance Manager and Plant Manager. Essential Job FunctionsAttends work on a regular and predictable schedule in accordance with agency leave policy and performs other duties as assigned. Prepares and oversees the preparation of all purchases for the Maintenance Department, through the People Soft Requisition and Lawson applications to ensure acquisition of material in timely manner for job orders and special projects; ensure accuracy of items purchased and transfer of payment approval of invoices to Accounts Payable; ensure utilization of stock items; and sustain quotas. (35%)Under the guidance of the Maintenance Administrative Coordinator, prepares; oversees and reconciles purchases and statements for the Maintenance Department credit card holders; ensures accuracy of log sheets, vendor hold checks and receiving paperwork; ensure accuracy of items purchased; and ensure purchasing parameters are adhered to. (20%)Provides back up to the CAFM Manager in the supervision and operation of CAFM 10 Systems applications to ensure timely scheduling and completion of work requested utilizing Computer Aided Facility Management. (10%)Maintains Maintenance Policy and Procedures Manuals. (5%) Schedules Maintenance Personnel for in-service, refresher and required out-of-town training; and maintains accurate records of training to ensure requirements are met. (5%)Attend Maintenance QIT and Accident Review Board meetings and record meeting minutes according to procedures to ensure accurate records by completing Attachment C from Admin. policy 3.23. (5%)Process all HR forms (request to post, request to fill, etc.) and schedule interviews for Maintenance Department using established process to comply with state and federal regulations.
