What You’ll Be Doing

  • Invoice and Payment Processing : Receive, code, and process invoices; expedite payment requests; manage and escalate payments for critical vendors; match tickets and reconcile invoices; accrue invoices not in the payable system at month end.

  • Vendor Management : Set up new vendors; forward vendor statements to support; speak with vendors to check on payments and processes.

  • Employee and Expense Management: Handle expense sheets and employee reimbursements as required.

  • Purchase Order and Vendor Management : Collaborate with supervisors/management on purchase requests; support and submit purchase orders; review and facilitate vendor qualification paperwork; submit to safety department for final review; analyze purchasing trends and recommend improvements; act as a contact for small to mid-sized vendors.

  • Administrative Support and Coordination : Facilitate corporate donation paperwork; assist the team as required; handle data entry and month-end procedures; provide reception relief and backup for the admin assistant as needed.

What Are We Looking For

  • Strong organizational and multitasking skills.

  • 1 – 3 years of experience with accounts payable/bookkeeping

  • 3 – 5 years of administrative experience

  • Excellent communication and interpersonal abilities.

  • Effective customer relations needed

  • Ability to work collaboratively with supervisors and management.

  • Attention to detail and problem-solving skills.
