Position Summary Information

Position Summary

The Enrollment Operations Assistant provides support for the enrollment of on-line undergraduate, on-line graduate, ground undergraduate, ground graduate and international students to the University. This involves daily data hygiene processes to ensure the accuracy and integrity of all ground and on-line undergraduate, graduate and international application records. The incumbent will assist with the management of on-line and ground undergraduate, graduate and international prospects, recruits and applicants through the enrollment funnel using Banner and CRM.

January 1, 2023- Utica University will start a flexwork program designed to give employees a greater work life balance. This flexwork program is an alternative to the standard 8:30 a.m. to 5:00 p.m., Monday through Friday, work schedule. While employees’ salaries, vacation and sick time are based on a full-time (37.5 hours/week) schedule, employees work an abbreviated 32-hour work week, with the flexibility of working either a four-day week or five abbreviated days. Supervisors will work with employees on scheduling to ensure the needs of the department are met.

Major Responsibilities

Process and input into Banner and/or the CRM on-line and ground undergraduate and graduate and international applications, files, and letters.

Prepares on-line and ground undergraduate, graduate and international files for review.

Reviews on-line and ground undergraduate, graduate and international applicant files for completeness and accuracy.

Assist with Foreign Language and English placement review for all undergraduate ground students.

Communicates with incomplete undergraduate ground applicants to encourage submission of documents.

Assists with the review and mailing of undergraduate ground admissions letters.

Safeguards the confidentiality of departmental or office administration by exercising discretion in communicating information to faculty, students and staff when handling departmental records, files, and similar confidential items.

Prepares and/or completes on-line and ground undergraduate, graduate and international admissions folders for review by performing keyboarding which requires accuracy, reviewing the completed documents for completeness and accuracy, and submitting the documents for approval or processing the documents according to established procedures.

Provides required or requested information and/or data for on-line and ground undergraduate, graduate and international applications, internal or external reports and records, retrieving data stored on word processing discs or computer databases, organizing and presenting the information in a usable and understandable format.

Inputs, revises, stores and retrieves on-line and ground undergraduate, graduate and international applicant data, correspondence, tables and similar documents on personal computer equipment.

Provides required or requested documents by operating (or directing/requesting others to provide such documents) photocopier equipment and standard office machines, collating and assembling printed or copied materials such as reports, bulletins, articles, and delivering finished materials as directed.

Assists in effective training on departmental procedures and policies, making appropriate work assignments.

Assists with special projects as necessary.

Contributes to the overall success of the department by performing other essential duties and responsibilities as assigned by the immediate supervisor.

Associate degree required. Bachelor’s degree preferred.

Experience working in a fast paced office setting.

Must be able to perform multitasking functions.

Working knowledge of Microsoft products such as Word, Excel, and Access required.

Must be able to operate a multi¬line telephone system, photocopier and other standard office machines.

Minimum Skills/Abilities

Effective oral, written, and editing skills are required.

Must have the ability to maintain confidentiality.

Must have a working knowledge of policies and procedures.

Requires independent judgment in carrying out responsibilities.
