Job Summary

This position will assist the School of Molecular & Cellular Biology (MCB) Procurement Office with daily activities related to reconciling documents, collating packing slips and other paperwork, maintaining the electronic and paper versions of transactions, and running miscellaneous reports as needed.

Duties & Responsibilities

  • Puts packing slip and invoice documents in order and collates with related purchase order documents. Verifies quantities received on packing slips matches quantities requested on order.
  • Performs searches in iBuy and Banner software systems to locate payment transaction reference numbers to post to the School\'s procurement database. Verifies payments are marked complete with payment issued and at the correct invoiced dollar amount.
  • Posts payment data to the School\'s procurement database.
  • Files completed order packets in correct order.
  • Assists with reviewing and closing PO encumbrances. Gathers organizational encumbrance lists from Banner. Processes JVs and/or service desk ticket closures on unneeded open PO encumbrances where necessary.
  • Shreds unneeded documents and creates labels and files.

Required Qualifications

1. High school diploma or equivalent.

2. Any one or combination totaling eighteen (18) months from the categories below:

A. College coursework in any curriculum as measured by the following conversion table or its proportional equivalent:

- 30 semester hours equals one (1) year (12 months)

- Associate\'s Degree (60 semester hours) equals eighteen months (18 months)

B. Work experience performing office/clerical activities, including the use of computer systems.

Appointment Information

This is a 48% part-time Civil Service 0846 - Office Support Associate position, appointed on a 12-month basis. The expected start date is as soon as possible after the deadline date. This is a bargained position and as such, the salary is driven by the collective bargaining agreement. The wage for this position is \$18.924/hour.

This position is on-site at the University of Illinois Urbana-Champaign campus.
