Overview
Responsible for the management of the loading dock, ensuring a safe, secure, organized and efficient operation. In collaboration with multiple support departments, the supervisor is responsible for ensuring and maintaining an environment that provides for the efficient and effective flow of goods and services to their respective receiving departments.
Responsibilities
Responsible for the daily operation of the loading dock traffic to ensure that deliveries are made efficiently so that products are delivered to their receiving points of use in a timely
Maintains and tracks data on delivery vehicle frequencies, delivery times and offloading
Based on data analysis, works with the Acquisitions & Contracting and Materials Distribution Departments to schedule vendor deliveries at frequencies & times that meet the supply and service needs of the hospital while maximizing the loading dock
Develops metrics for operational efficiencies and regularly benchmarks against industry
Assesses the frequency of ground transport deliveries such as FedEx, UPS, Rapid Delivery, etc., to determine if the use of these delivery methods is the most cost effective means of supply
Partners with other departments including Materials Management to ensure that their delivery needs are met and that their employees are performing in accordance with all policies and procedures
Directs, regulates & prioritizes the movement of vehicular traffic around the parking areas, loading ramps and receiving
In conjunction with Environmental Health and Safety ensure that the loading docks meet the regulatory standards
Gives direction to support departments to correct conditions that are out of compliance or need to be corrected including but not limited to: facilities improvements, waste management handling and disposal of any hazardous materials
Coordinates with outside agencies for appropriate and timely equipment/property
Performs in conjunction with the Environmental Health and Safety Department hazard surveillance rounds and is responsible for seeing that problems identified are resolved
Ensures that the dock is not used for any unapproved acivities
Ensures that the loading docks are secure and that policies, procedures, security presence and technologies are in place to maximize loss prevention
If applicable, gives direction to the security officer assigned to the loading dock and jointly with the Security Department evaluates the officer’s duties
Monitors employee, vendor and visitor activity
In conjunction with internal and external auditing personnel conducts inventory control
Participates in internal and external investigations based on audit results and/or information received
Qualifications
Bachelor’s degree preferred
3-5 years’ shipping and receiving experience and supervisory experience required
Must have knowledge of inventory management, receiving dock operations, security and audits
Proficient in Microsoft Office software
Ability to communicate in a positive & effective manner with clerical staff, supervisory staff, vendors & support departments
Excellent time management skills
Effective written and oral skills
Ability to work independently
Ability to understand budgets and other financial principles necessary to maintain the financial performance of the department
Ability to directly and indirectly manage & motivate vendors, drivers and support personnel in such a manner as to provide a safe, efficient & effective receiving dock
Must demonstrate the ability to establish relationships & work effectively with key representatives from numerous organizations
Productivity driven and task oriented
Physical Demands
Physical activity required includes frequent bending, reaching, lifting, and standing
Must have ability to lift up to 50lbs
