Operations Manager

The Operations Manager is a full-time position that assumes overall responsibility for assisting with organizational leadership and day-to-day operational management.

Responsibilities

  • Provide the Administrator overall assistance to leadership and management of the agency.
  • Maintains current knowledge related to homecare industry standards and industry trends.

``` - Responsible for ensuring effective implementation and operationalization of agency strategic plans. - Assist in ensuring fiscal solvency of the agency.

``` - Develops and ensures agency/staff adherence to operational policies and procedures.

``` - Providing back-up support in any areas of the business ie., scheduling, recruiting, hiring, training, marketing, employee and client satisfaction, care management

``` - Oversees all human resources administration, either directly or indirectly. - Responsible for ensuring employee documentation complies with all relevant laws to include Federal, State and local jurisdictions. - Process payroll for all staff - Provide payroll journals to CEO and President for review each pay period. - Review staffing calendar and schedules in Generations as needed to ensure accurate payroll as well as to assist with caregiver scheduling activities. - Assist with creation and maintenance of staff personnel files. - Conduct Orientations to new hires - Identify areas for employee training and manage agency training programs. - Answer general incoming office calls as needed. - Meet with clients/families to complete inquiries/intakes as needed - Complete client assessments. - Evaluate clients to determine appropriate service mix, including activities, personal care needs and need for outside services. Coordinate and liaise with outside service providers as needed. Evaluate and document safety issues and concerns and plan for addressing. - Open new cases and complete service agreements and related forms with clients/families. - Complete client care plans and input into software program. - Conduct Quality Assurance visits - Work with Staffing Coordinator to ensure effective staffing of cases in assigned territories. - Walk caregiver(s) into case (i.e. home, facility) on first visit to introduce caregiver(s) to client/family/facility and ensure caregiver(s) understanding of care plan. - Represents the agency to the public to include a variety of activities such as participation on committees, and engaging in community partnerships/collaborations. - Assist in Marketing company services and building relationships with referral sources and other groups, organizations and individuals within the community - Liaise and communicate regularly with existing referral sources to foster and maintain positive working relationships and generate ongoing referrals/business. - Identify new and potential referral sources to establish positive working relationships and awareness of Motherly Comfort service offerings. - Schedule and conduct face-to-face visits/meetings and in-services with existing and potential referral sources for the purpose of fostering productive relationships and imparting information about Motherly Comfort. - Actively participate in marketing and staff meetings. Contribute ideas to Motherly Comfort marketing strategies. - Discuss Motherly Comfort services with potential clients and referral sources both over the phone and in person. - Document referral source activities on a daily basis. -
- Perform other duties as required Position Requirements - At least 3 years of senior management/leadership experience, preferably in the healthcare ndustry. - Working knowledge of human resource management practices a plus.

``` - Working knowledge of fiscal management/accounting to include budget development and financial analysis a plus. - Demonstrated knowledge of system and processes. - Ability to persuasively communicate ideas and information.

``` - Ability to professionally represent Motherly Comfort Home Care to clients and the public, both over the telephone and in person. - Exceptional interpersonal skills and ability to communicate professionally with a wide variety of individuals. - Ability to maintain the confidentiality of client and staff information encountered in the course of work. - Exceptional verbal and written communication skills.

Knowledge of and proficiency in the use of modern office equipment and software programs including Microsoft Word, Outlook and Excel. Ability to learn how to utilize additional software programs and databases as needed.

Ability to foster and maintain productive and professional working relationships with all Motherly Comfort Home staff.
