JOB DESCRIPTION AND POSITION REQUIREMENTS:

Administrative Support – Part-Time

The Penn State World Campus Marketing Strategy and Business Development team is seeking an experienced candidate to join the team as Administrative Support - Part-Time. The part-time Administrative Support position will report directly to the Executive Director for Online Education Strategy and Business Development and will provide direct administrative and professional support for primarily the Senior Director for Business Development and his team but may also provide occasional support for the broader team, as needed. This position will also serve as a back-up, when needed, for the other administrative support positions within the Marketing and Communications unit. Part-time hours will be 20 hours per week and an appropriate schedule can be discussed with interview candidates.

Candidates that apply should be proactive, energetic, and highly organized. Qualified candidates should embrace technology and university systems (Microsoft Outlook, Concur, SIMBA, Workday, etc.), embrace flexibility and change, able to manage multiple requests in a timely manner, able to communicate effectively and efficiently with a remote team located across time zones, as well as with multiple stakeholders across the university, and able to work as a team with other administrative support assistants to provide backup for each other when needed.

This position may require occasional in-person support such as checking/distributing mail at the office building and/or preparing for in-person staff events. This position can be performed fully remotely or as a hybrid of remote and on-site working.

The successful candidate will be responsible for the following:

  • Provide primary administrative support to the executive director for online education strategy and business development, senior director for business development, and business development team. Provide secondary administrative support, as needed, to the Marketing Strategy and Business Development team.

  • Coordinate travel arrangements, support staff who are traveling and may require immediate assistance, coordinate and complete travel expense reporting, and work with financial coordinators regarding expense guidelines as needed. May require use of a P-card in support of the team.

  • Coordinate, create, and maintain information for the team: shared files/folders, email lists, reports, presentations, meeting agenda/notes, etc.

  • Respond to routine and moderately complex questions/issues concerning unit/University policies, processes, and procedures from internal and external contacts.

  • Serve as resource to others and be able to recommend a point-of-contact for a variety of subjects including office equipment, software application usage, and information processing procedures.

  • Provide administrative support - initiate/complete Doodle polls, manage calendars, arrange/coordinate/schedule meetings, etc. for a team that travels frequently.

  • Support limited in-person/hybrid meetings– coordinate and plan meeting space and ensure necessary technology requirements.

    This position will require successful completion of standard background checks.
