JOB DESCRIPTION AND POSITION REQUIREMENTS: The Department of Astronomy and Astrophysics is seeking an Administrative Assistant (Intermediate Support) to provide support for faculty, staff, students, and visitors from a variety of cultures and backgrounds.

This position will serve as the first point of contact for the administrative office. Responsibilities include but are not limited to the following: Coordinate department colloquia, seminars, lunch talks, and endowed lectures. Coordinate meetings, workshops, and other special events, and assist with outreach programs. Assist with travel arrangements, itineraries, expenses, and room schedules related to the above. Serve as department facilities coordinator to manage and track department keys and building access, property inventory, telephones, and copier machines, and process all maintenance requests. Serve as department safety officer working with faculty, lab personnel, and other units to ensure compliance with federal safety guidelines and inspections. Maintain department web pages, social media pages, and digital signage, and assist with collecting information and distributing weekly department newsletter. Greet and assist visitors, answer telephone, receive and sort mail, and maintain office supplies. Provide backup support to other administrative staff as needed.

Education and Experience: Requires a high school diploma or higher plus two years of relevant experience, or an equivalent combination of education and experience.

Proficiency in Office 365 (particularly Word, Excel, Teams, and Outlook) and Adobe Acrobat is required. A working knowledge of Penn State's financial systems (SIMBA, ShopOnLion) and facilities systems (LionSpace, EZRequest, CCure, 25Live) is preferred but not necessary.

The successful candidate must be highly motivated and exhibit a high degree of professionalism and initiative with a strong commitment to diversity, equity, respect, and inclusion. Attention to detail, organization, and interpersonal skills, and the ability to manage deadlines is critical, as is the ability to work independently and in a team environment. Outstanding communication skills, both oral and written, are required.

The salary range for this position, including all possible grades is: $38,300.00 - $55,500.00
