JOB DESCRIPTION AND POSITION REQUIREMENTS:

The Department of Biobehavioral Health (BBH) in the College of Health and Human Development in seeking a motivated and talented Administrative Assistant to join our Administrative Support Team. You will assist on a wide variety of moderately complex business and financial operations and will directly support faculty, staff, and students.

Responsibilities include but are not limited to:

Preparation, processing, and submission of financial forms (e.g., travel reimbursements, purchasing card reconciliations, purchase orders, etc.)

Serve as receptionist for the main office: Greet guests, answer main phone line for department, aid or redirect as appropriate

Sort and distribute mail, prepare mail slips for outgoing mail, receive and send packages

Maintain office supplies and toner inventory. Place orders for replenishment as needed

Oversee copiers to include troubleshooting, ordering replacement toner, add/remove users, and arrange for copier maintenance

Serve as lead contact for conference room scheduling and technology support for the department and school. Set up equipment for meetings and presentations, troubleshoot issues and/or arrange for support

Create and maintain a shared events calendar

Listserv creation and management. Distribution of department and school information and marketing materials for events, as needed

Create and maintain department and school directories for electronic distribution to faculty and staff

Serve as lead contact for departmental events (reserve spaces, develop itineraries, schedule guest travel, etc.)

Serve as the BBH Safety Officer and participate in BBH committees. Coordinate alumni outreach and manage department awards

Process work orders for BBH facilities repairs/needs

Address faculty grant submission and research needs

Education and Experience Requirements:

Requires a High School Diploma/GED or Vocational Training/Degree, plus two years of relevant work experience, or an equivalent combination of education and experience.

Preferred Experience/Skills:

Knowledge of Microsoft Office 365 systems(Teams, Word, Excel, Forms, SharePoint, OneDrive, etc.)

Knowledge of standard office procedures

Excellent interpersonal and communication skills

Success in an office environment where organizational skills are crucial to be effective

Interest in learning job-related software

Experience with higher education software systems such as LionPATH, 25Live Optimizer,CourseLeaf Curriculum Inventory Management (CIM), Student Educational Experience Questionnaire (SEEQ) or equivalent database and workflow systems

Ability to be detail-oriented

Ability to work with a high level of professionalism both independently and as a member of a team

Demonstrates a genuine appreciation for working with diverse populations

Additional Information:

Typical working hours are on-site, Monday through Friday, 8:00 am to 5:00 pm.This position will be considered for a flexible work arrangement that combines remote and on-campus work after a six-month on-site training period. Flexible work arrangements can be discussed after a six-month in-office training period.

The salary range for this position, including all possible grades is: $38,300.00 - $55,500.00
