JOB DESCRIPTION AND POSITION REQUIREMENTS: The McCourtney Institute for Democracy in the College of the Liberal Arts is seeking an Administrative Assistant. Working closely with Institute Directors and the Communications Specialist, this person will assist with all operational, budgetary, events, and administrative duties associated with the Institute.

Responsibilities include but are not limited to:

Managing operational and administrative processes

Monitoring and maintaining the Institute's internal budget(s) to include stewardship of endowment accounts, tracking expenditures against charges, as well as processing requests for various financial transactions such as travel reimbursements, group meals, honorarium payments, and reconciliation of purchasing card charges

Providing detailed ongoing budget reports and forecasting balances to plan for expenditures, compiling detailed information for annual budget reports

Arranging and providing logistical support for meetings, visits, and events (including conferences, speaker series, and the Nevins Democracy Leaders program) and when appropriate, coordinating with relevant departments including Alumni Relations

Hiring part-time hourly student research employees

Editing, proofreading, and producing correspondence, updates, and mailings

Assist in developing social media posts, graphics, and flyers

Organizing, preparing, and attending weekly staff meetings

Communicating with and assisting undergraduate students regarding fellowships/internships

Submitting work orders for facilities maintenance requests

Maintaining Institute records and files

After training, the Administrative Assistant will frequently use: Microsoft 365, SAP Concur, CollegeNet-25Live, as well as the following which are specific to Penn State: Workday/WorkLion (central resource for HR services, payroll, attendance, etc.), eSteward (database related to alumni gifts and endowments), and SIMBA (Penn State's System for Integrated Management, Budgeting and Accounting).

Education and Experience: This position will be filled at the level of Intermediate Support, which requires a minimum of a High School Diploma/GED or Vocational Training/Degree for education and two years of relevant experience, or an equivalent combination of education and experience.

Financial/budgeting and event logistical support experience is preferred.

Excellent written and verbal communication skills

Ability to work independently and as a member of a team

Excellent organizational and time-management skills; attention to detail

Candidates should also have general computer skills with a solid familiarity of Microsoft Word, Excel, Teams, and Outlook; as well as an ability and willingness to learn other job-related software.

The salary range for this position, including all possible grades is: $38,300.00 - $55,500.00
