JOB DESCRIPTION AND POSITION REQUIREMENTS:

The Bellisario College of Communications is seeking an Administrative Assistant to join the Facility and IT Departments within the college. This position will provide support for the Bellisario IT, Bellisario Facilities and Bellisario Media Center.

Responsibilities: The successful candidate will be responsible for the following:

  • Coordinate operational activities of the IT Department, Facilities and Media Center

  • Set and assign service tickets, ensure schedules are maintained and deadlines are met

  • Respond to routine and moderately complex questions/issues concerning unit/University policies, processes, and procedures from internal and external contacts

  • Complete purchase orders, process goods confirmations, follow up with all orders

  • Coordinate office equipment and materials purchases

  • Communicate with internal and external stakeholders, budget admin, and management to exchange information, resolve issues or concerns

  • Support the unit managers for Bellisario IT and Bellisario Facilities in promoting good stewardship

  • Manage shared licenses and renewal payments.

  • Serve as the Access Coordinator within CCURE and Asset Transfer Agent for the units

  • Serve as back up for the Parking Chair and Safety Officer

  • Arrange meetings, assist with the coordination as related to Facilities/IT for special events, conferences, and other functions

  • Support facilities coordinator and manage keys/key inventory

  • Monitor the Bellisario IT and Bellisario Facilities shared email and phone lines

  • Create Help Desk Tickets for IT and OPP Work Orders as required

  • Serve as resource to others on a variety of subjects including office equipment, software application usage, and information processing procedures

  • Other duties as assigned

Work Arrangement: This position is customer facing and will operate onsite, with limited remote work possibilities.

Education and Experience: This position will be filled either at the Intermediate Support level, or the Senior Support level. The level will be determined based on the qualifications of the successful candidate. The minimum qualifications for the Intermiediate Support level are a High School Diploma/GED or Vocational Training/Degree and 2+ years of relevant experience or an equivalent combination of education and experience.The minimum qualifications for the Senior Support level are an Associate's degree and 4+ years of relevant experience or an equivalent combination of education and experience.

Experience with and or ability/willingness to learn student, financial, employee, and reporting information systems such as SAP Concur (travel and expense reimbursement system), Shop OnLion (purchase portal), 25Live (room reservation portal), CCURE (security system software), and LionPath (student portal) are required. The successful candidate should also:

  • possess and exhibit exceptional interpersonal, verbal, reading, and written communication skills.

  • possess demonstrable conscientious attention to detail and organization.

  • be highly motivated and exhibit a high level of professionalism and dedication to exceptional customer service.

  • be able to work with minimal supervision and exercise discretion and make informed and independent judgement.

  • have excellent computer skills, including proficiency in all Microsoft Office applications.

The salary range for this position, including all possible grades is:

$38,300.00 - $61,000.00
