Robert Half Administrative Assistant II in Tulsa, Oklahoma

Description

We are in search of an Administrative Assistant II to become an integral part of our team in Tulsa. This role involves providing comprehensive administrative support, handling various tasks related to office coordination, and ensuring efficient operations within our organization. This is a long term contract employment opportunity.

Responsibilities:

• Provide robust administrative support to the team.

• Coordinate travel arrangements, prepare itineraries, and handle expense reports.

• Administer the company record retention program and ensure compliance with company policies.

• Submit timesheets and various other reports according to the company schedule.

• Serve as the first point of contact for visitors, answer telephones, and manage mail and deliveries.

• Organize logistics for internal and external meetings, luncheons, and dinners.

• Handle set-up and cleanup for meetings and luncheons.

• Act as a liaison to building management and other outside vendors.

• Review and process invoices for payment by the accounts payable department.

• Oversee office security measures and procedures, including office safety, disaster recovery, and emergency planning.

• Prepare mail deliveries via courier or local service provider.

• Maintain office supplies and filing system.

• Lead special projects as assigned.

Requirements • Proficiency in Microsoft Office Suites including Microsoft Excel, Word, PowerPoint, and Outlook

• Prior experience in administrative assistance or similar roles

• Exceptional customer service skills with experience in answering inbound calls

• Familiarity with Accounts Payable (AP) and tax accounting processes

• Ability to handle logistics relating to deliveries and liaising with vendors

• Experience with marketing and planning strategies

• Understanding of company procedures and policies

• Ability to review and manage file systems and libraries

• Strong leadership skills with the ability to lead special projects

• Experience with workstation support and maintaining the office environment

• Knowledge of tax processes and regulations

• Excellent organizational skills with the ability to manage multiple tasks simultaneously

• Strong communication skills, both written and verbal

• Ability to work independently and as part of a team

• High level of discretion and confidentiality.
