Position Overview:
We are looking for an experienced and highly organized individual to take on the combined role of Human Resources (HR) and Office Manager in our legal office. This dual position requires someone who is not only skilled in managing HR functions, such as recruitment, employee relations, and compliance but also adept in overseeing day-to-day office operations. The ideal candidate will be a proactive problem-solver, capable of managing the administrative needs of a busy legal office while ensuring the well-being and development of our team.
Key Responsibilities:
Human Resources Responsibilities:
Recruitment and Staffing:
Oversee the recruitment process for legal professionals (attorneys, paralegals) and administrative staff.
Develop job descriptions, source candidates, screen resumes, schedule interviews, and onboard new hires.
Collaborate with department heads to determine staffing requirements and ensure timely hiring.
Employee Relations:
Serve as a primary point of contact for employee concerns and act as a mediator when issues arise.
Foster a positive workplace culture and encourage open communication across all levels.
Conduct exit interviews, track employee satisfaction, and provide feedback for continuous improvement.
Compliance and Legal Adherence:
Ensure compliance with employment laws, company policies, and best practices in the legal field.
Maintain up-to-date knowledge of labor regulations and adjust policies as necessary to stay compliant.
Manage employee records, ensure confidentiality, and maintain HR documentation in accordance with legal standards.
Performance Management:
Implement and manage employee performance reviews, disciplinary actions, and reward systems.
Work with managers to address performance issues, set goals, and create professional development plans.
Support training and development initiatives to promote continuous employee growth.
Compensation and Benefits:
Manage employee benefits programs (healthcare, retirement plans, etc.) and ensure their competitiveness within the legal industry.
Assist with payroll and compensation management, ensuring accurate salary administration and timely processing.
Conduct regular compensation reviews and provide recommendations for adjustments.
Training and Development:
Identify training needs across the office and coordinate relevant professional development programs.
Facilitate onboarding for new hires, ensuring they understand the company culture, processes, and legal practices.
Promote leadership and career growth opportunities for employees.
Office Management Responsibilities:
Office Operations:
Oversee the daily operations of the office, ensuring a smooth and efficient work environment.
Manage office supplies, equipment, and inventory, ensuring that all resources are well-stocked and in working order.
Implement and maintain office policies and procedures, ensuring compliance with organizational and legal requirements.
Facilities Management:
Coordinate office space management, including maintenance, security, and vendor relations.
Ensure the office environment is clean, organized, and conducive to productivity.
Administrative Support:
Provide administrative support to senior management and legal teams, including scheduling meetings, preparing documents, and handling correspondence.
Manage incoming calls, emails, and client inquiries, directing them to the appropriate personnel.
Oversee office calendar, room bookings, and client meeting arrangements.
Event Planning and Coordination:
Organize company events, client meetings, and team-building activities.
Coordinate logistics for seminars, workshops, and other professional development opportunities for staff.
Budget and Expense Management:
Assist in managing office budgets, tracking expenses, and preparing reports on office-related costs.
Ensure cost-effective office management, identifying opportunities for savings where possible.
Technology and Equipment Management:
Work closely with IT to maintain office systems, resolve technical issues, and manage office technology and software.
Oversee the maintenance and upgrading of office equipment and ensure that it aligns with operational needs.
