Job Title: Human Resources Assistant
Job Description
We are seeking a dedicated and detail-oriented Human Resources Assistant to maintain accurate and up-to-date human resource files, records, bulletin board updates, and documentation. The ideal candidate will answer frequently asked questions from applicants and employees, maintain the integrity and confidentiality of HR files, perform periodic audits, and provide clerical support to the HR department.
Responsibilities
Maintain accurate and up-to-date human resource files, records, and documentation.
Answer frequently asked questions from applicants and employees regarding standard policies, benefits, and hiring processes.
Refer complex questions to appropriate HR staff or management.
Maintain the integrity and confidentiality of human resource files and records.
Perform periodic audits of HR files and ensure all required documents are collected and filed appropriately.
Provide clerical support to the HR department.
Process required paperwork for employee transfers, changes in job classification, salary increases, and other related employment matters.
Act as liaison between employees and benefits/payroll.
Conduct new hire orientation.
Run human resource reports such as attendance, new hire, and turnover reports.
Assist recruiting as needed, including posting approved positions, screening applicants, scheduling pre-employment testing, interviews, and presenting pre-approved offers.
Assist with planning and execution of special events and HR-related training.
Assist HR Manager with special projects and research.
Track FMLA, Work Comp, work visas, etc.
Assist union employees during benefit open enrollment and new hire benefit enrollment.
Conduct weekly safety observations and maintain open communication with employees.
Coordinate with HR Administrator in other locations to support and be a backup for all sites as needed for employee onboarding.
Lead internship program for the Totowa site and coordinate presentations with other sites.
Essential Skills
2+ years of HR experience.
Bilingual in English and Spanish.
Associates degree in a related field.
Excellent verbal and written communication skills.
Excellent interpersonal skills with the ability to manage sensitive and confidential situations with tact, professionalism, and diplomacy.
Team-oriented with a positive attitude.
Ability to prioritize and handle multiple tasks with proven ability to meet deadlines.
Proficient with ADP, human resource information system (HRIS), and similar computer applications.
Excellent problem-solving skills.
Additional Skills & Qualifications
- SHRM-CP or SHRM-SCP preferred.
Work Environment
This position is onsite in the manufacturing plant - schedule is 8:00 AM - 4:30 PM, Monday through Friday.
- must be flexible to come in early or late as needed and work overtime hours if required.

Pay and Benefits
The pay range for this position is $24.00 - $26.00
