Job Title: Account Payable ConsultantJob Description
This position is responsible for managing Accounts Payable, Fixed Assets, and the Coupa Application for Procurement. Additionally, the role includes general accounting duties as assigned.
Responsibilities
Process Accounts Payables in a timely manner, including receiving and verifying invoices and requisitions for goods and services.
Review and reconcile employee expense reimbursements prior to payment.
Verify that payment claims and transactions comply with policies and procedures, such as travel and entertainment expenses.
Prepare and input entries in the Oracle Accounts Payable system.
Prepare required reports after daily processing for reconciliation purposes between Coupa and Oracle.
Prepare vendor cheques for mailing.
Maintain an appropriate paper or electronic Accounts Payable filing system that provides a proper audit trail.
Maintain an accurate list of approved vendors and vendor account numbers.
Prepare other expense-related reports as required, including tracking travel and entertainment expenses and greenhouse gas-related expenses.
Review accuracy of vendors/suppliers list in the Coupa application.
Assist other business users with the registration of contracts and purchase orders/requisitions in the Coupa application.
Maintain accurate records of all fixed assets, ensuring they are tagged with appropriate identification.
Ensure fixed assets are entered into the Oracle Fixed Assets system correctly and in a timely manner.
Ensure fixed assets are depreciated correctly in the Oracle Fixed Assets system.
Conduct an annual Fixed Asset review by reconciling Oracle Fixed Assets records to the actual physical assets.
Streamline and enhance the Vendor Risk Management process in coordination with partners.
Partner with department heads to collate required information and documents for vendor risk management purposes.
Ensure compliance with all Bank Policies and Procedures, including Anti-Money Laundering policies, and relevant regulatory body requirements as communicated by the Compliance Department.
Essential Skills
Proficiency in Oracle, Accounting, Reconciliation, Process Improvement, Documentation, and Process Mapping.
Experience with Concur, Accounts Payable processes, and Fixed Assets management.
Strong Excel and systems experience, including Oracle AP and Concur.
Degree in Accounting or equivalent Business certificates.
Minimum of 3 - 5 years of previous related experience in Accounts Payable.
Basic accounting knowledge for budget preparation, fixed asset amortization, and entry preparation.
Ability to organize, plan, and coordinate.
Proficiency in computer skills – Excel, Word, Access, Oracle Accounts Payable (AP) and Fixed Assets.
Project Management skills.
Prior exposure to working with Coupa procurement/AP system and Oracle AP system.
Additional Skills & Qualifications
Familiarity with COUPA.
Experience with VLOOKUPs and Pivot tables.
Schedule III banking experience (foreign banks).
Project Management skills.
Transformation experience.
Excellent communication skills.
Confidence and ability to work with C-Suite executives.
Proactive approach.
Work Environment
This position operates in a hybrid work environment, requiring on-site presence 2-3 days weekly with flexibility on which days. Hours are typically 9-5 or 8-4, totaling a 35-hour work week. You will report to the Vice President of Accounting and support the current AP Analyst in process improvement initiatives. Benefits include medical and dental coverage while on contract, with RRSP matching and bonus eligibility upon conversion to a permanent position.
Pay and Benefits
The pay range for this position is $90000.00 - $100000.00/yr.
