Job duties: This is a high-level administrative support role responsible for supporting the Chief Human Resources Officer, Public Information Director, and Chief of Professionalism and Outreach. This is a hybrid position with some remote work possible with supervisor approval. Administrative support responsibilities include writing and editing sensitive or confidential information, managing contact information for court staff statewide, timely updating and sharing data with other departments within the branch, and sending communications. Other duties include managing data for the communications team, carrying out predefined communications tasks, updating web content, and managing and responding to internal and external inquiries. The position will monitor multiple email accounts, adhere to deadlines, send scheduling polls, schedule meetings, send meeting agendas, and answer a multiline telephone. The successful candidate will perform administrative tasks as they relate to committees and projects, and help produce and maintain manuals, forms, procedures, and other necessary documents related to judicial branch administration. This position will also organize and oversee receptions and lunches in the Judicial Center, which can include ordering food, set up and clean up, and serving at events as needed. A high attention to detail is essential for the duties in this position.
Required education and experience: Graduation from high school or equivalent; supplemented by at least two years of general clerical work experience, preferably in a court office or law office. Court clerical or word processing experience is preferred; or any equivalent combination of education or experience that provides the following skills:
Excellent writing, editing, and oral communication skills.
A high attention to detail.
Ability to prioritize tasks.
Demonstrated skills with Word, Excel, Access, Adobe DC Pro, and Outlook.
Demonstrated ability to maintain confidentiality in all requested work.
Familiarity with Microsoft Teams, Zoom, and Microsoft Planner.
Familiarity with content management and bulk emailing systems.
Ability to maintain databases.
Ability to help produce web-based materials, forms, procedures, and other necessary documents related to the administration of the judicial branch.
Ability to monitor multiple email accounts to ensure timely, professional, and thorough responses to public and branch staff.
Ability to work collaboratively.
Ability to develop and maintain an effective and harmonious working relationship with officials, employees, and the public.
The ability to monitor calendars and keep project partners informed of upcoming milestone dates and meet deadlines.
Ability to operate a multiline phone system and perform general receptionist duties.
