The Arc Erie County is currently seeking a Family Services Specialist for our Pre School program located in Tonawanda, NY. Why Achieve with The Arc Erie County? Becoming our Family Services Specialist means:

  • Completing all of the necessary paperwork to enroll a child (i.e., intake packet, demographic report, social service history, transportation request form, etc.; Obtains current medical educational and/or psychological diagnostic records if generated by other entities

  • Monitors and ensures all outstanding documentation is received for the enrollment process to be complete

  • Upon referral, schedules children for evaluation; Scheduling also involves contact with members of the multidisciplinary/evaluation team to coordinate the completion of the evaluation(s)

A Bachelor’s Degree in Social Work or a related field plus experience with children with developmental disabilities and their families preferred.

This position is Full-Time, 30 hrs/ per week. No evenings, no weekends, and no holidays!

Position Summary:

For referrals made to the Education Program, meets with family/caregiver(s) in completing paperwork necessary for the child’s enrollment; Monitors and coordinates submission of paperwork to respective municipality/ school district/departments; Coordinates preschool evaluations with families and multidisciplinary team as required; As part of the evaluation team, completes social service history; Attends initial Committee on Preschool Special Education meetings as necessary as a representative of the evaluation team; Routes demographic information regarding incoming students to pertinent staff.

Reporting Relationship:

Receives supervision from the building Principal

Job Duties and Responsibilities:

  • Upon receiving referral, contacts family/caregiver to assist them in the process of enrolling their child; Provides information to the family/caregiver easing them through the “system”; Meets with a family/caregiver(s) in their home or at the center to accomplish this task

  • Completes all of the necessary paperwork to enroll a child (i.e., intake packet, demographic report, social service history, transportation request form, etc.; Obtains current medical educational and/or psychological diagnostic records if generated by other entities

  • Monitors and ensures all outstanding documentation is received for the enrollment process to be complete

  • Once all paperwork is in order for a child to enroll, completes routing slip containing pertinent demographic information and Individualized Education Plan (IEP) mandates and distributes to appropriate school staff

  • Evaluations

  • Upon referral, schedules children for evaluation; Scheduling also involves contact with members of the multidisciplinary/evaluation team in order to coordinate the completion of the evaluation(s)

  • Distributes weekly schedule of evaluations

  • Prepares and completes paperwork necessary for conducting the evaluation

  • Completes social history as required

  • Follows up on any outstanding documentation required for submission of evaluation information

  • Completes summary report to be included in the evaluation packet

  • Attends CPSE meetings as required

  • Maintains and protects confidential or other sensitive information such as Protected Health Information (PHI) and Personally Identifiable Information (PII) as defined in the agency’s Information Security Policy

  • Performs other duties as required by the supervisor

Qualifications and Education Requirements:

Bachelor’s Degree in social work or closely related field PLUS experience with children with developmental disabilities and their families preferred

Demonstrates sensitivity and respect for students with developmental disabilities and their families at all times; Must have the ability to work cooperatively with others; Willingness to accept and perform duties and responsibilities not ordinarily associated with the position in case of emergency or when unusual or unpredictable circumstances arise; Good organization skills; Ability to handle information discretely and ethically with an understanding of strict rules of confidentiality; Willingness to attend specific training as may be required; Ability to maintain auditory and visual supervision of students; Ability to communicate orally on a professional level and write in a legible correct manner.

Must have access to immediate transportation during the school day.

Essential Job Functions:

  • Physical demands and Exposure Risk outlined on attached form (A)

Ability to bend, stoop, squat, kneel, sit, reach, stand, walk, push, pull, climb flight of stairs; good physical strength and be able to lift/transfer a minimum of 50 lbs. unassisted and is able to assist in two-three person lifts as necessary; Must be able to perform physical tasks outlined in education program’s Safe Student Movement manual. Must have the ability to see, hear, listen, speak clearly, good motor coordination; grip, strength, eye-hand coordination

  • Mental Requirements:

The ability to perform critical thinking and complex problem solving skills, write in clear, organized manner, show good judgment, independent action; Ability to prioritize and follow directions; Works independently, as well as cooperatively , with others; Be approachable, enthusiastic and meet job related tasks accordingly

  • Human Relations Skills:

The ability to communicate with individuals in a positive manner, both oral and written, serve as an appropriate role model to co-workers and program participants; Receive supervision instruction in a positive manner; Adhere to the agency’s policies, procedures, rules and regulations; Maintains a positive attitude and appearance at all times

  • Equipment Operation:

The ability to operate office equipment, such as computer, copier, fax machine, and laminator.
