College of Mount Saint Vincent Administrative Assistant for Housing & Resident Life in The Bronx, New York

Responsibilities:
In collaboration with the Director of Housing & Residence Life:
Provide operational and administrative support to the department and team
Manage front desk operations; must triage all front desk activities, which includes greeting and direct visitors to the office and directing complex situations to departmental administrators as necessary
Ensure timely, consistent correspondence on behalf of the Office
Organize and schedule appointments for members of the Housing & Residence Life staff
Maintain accurate and up-to-date records for the Office such as student housing files, judicial files, student time sheets, etc.
Process purchase orders, check requests, and reimbursements for the department in collaboration with Finance department
Provide excellent customer service to students, families and guests of the Housing & Residence Life office located in the Alumnae Pavilion Student Center
Oversees the housing process for the international student groups
Coordinates Late Stay, Early Arrival, Break Housing, and Summer Housing process
Processes Overnight Guest pass requests
Collaborates regularly with Facilities, Operations, Campus Events, and Campus Security
Works closely with outside vendors such as the U.S. Census Bureau, Micro-fridge delivery, CSC Laundry Service, etc
Assists with departmental projects and initiatives as assigned by the Director
Attends weekly one-on-one meetings with the Director
Other duties as assigned
In support of the Dean of Students Office:
Receives and evaluates health records from primary care providers to ensure student compliance with the city and state immunization requirements
Completes all city and state reports on immunization records
Supports the Dean of Students with the waiver and enrollment process of student health insurance
Requirements
Bachelor’s degree preferred
Previous experience in residence life, housing operations, or student affairs is preferred with past experience working with college students
Ability to work as a flexible, supportive team member in a diverse environment
Excellent communication, computer, and customer service skills are essential
