The Administrative Asst performs advanced secretarial work, routine and complex administrative support services. Will serve as Administrative Assistant in The Psychology Department and other areas of the Hospital. Ensures compliance with both external standards and Terrell State Hospital policies and procedures. Work involves latitude for decision making when answering correspondence; reviewing mail, answering calls, and giving out information and instructions within scope of authority. Requires effective and courteous verbal and written communication with multidisciplinary staff members and outside agencies. Handles purchasing for the department and facility, as needed. Maintains confidential administrative files. Records/transcribes minutes of meetings as needed.Essential Job FunctionsAttends work on a regular basis and may be required to work a specific shift schedule or, at times, even a rotating schedule, extended shift and/or overtime in accordance with agency leave policy and performs other duties as assignedAnswering correspondence; reviewing mail, answering calls, and giving out information and instructions within scope of authority.Requires effective and courteous verbal and written communication with multidisciplinary staff members and outside agencies.Handles purchasing for the department and facility, as needed.Maintains confidential administrative files. Performs related work as assigned.May occasionally be asked to work extended hours to meet crucial deadlines.Possess the ability to both prepare and analyze data.Be able to implement and execute multi-task assignments with moderate latitude of independence.Demonstrate the ability to make quick, sound decisions based on the principles and vision of the Director.Ability to multi-task, be detail oriented, possess highly developed organizational and follow through skills, and learn quickly.Other duties as assigned include but are not limited to actively participating and/or serving in a supporting role to meet the agencyand#146;s obligations for disaster response and/or recovery or Continuity of Operations (COOP) activation.
